Job Description (JD)
The Temporary Admin Assistant will support the QA/QMS Department in handling administrative, documentation, filing, and coordination tasks related to quality assurance activities and Quality Management System (QMS) compliance. The role is responsible for ensuring all quality documents, records, and reports are properly maintained and updated in accordance with company procedures and audit requirements.
Key Responsibilities
Administrative Support
- Assist the QA/QMS team with daily administrative and clerical duties.
- Prepare, update, print, scan, and file quality-related documents.
- Maintain proper document control and filing system for QA/QMS records.
- Ensure all documents are organized, traceable, and easily accessible.
Documentation & Record Management
- Support in updating SOPs, work instructions, forms, and quality records.
- Maintain audit documents, inspection reports, and compliance records.
- Monitor document revision status and ensure latest versions are used.
- Assist in preparing documents for internal and external audits.
Data Entry & Reporting
- Perform accurate data entry into Excel, ERP system, or internal databases.
- Compile quality data, reports, and statistics as requested by the QA/QMS team.
- Assist in preparing monthly QA/QMS reports and meeting minutes.
Coordination & Communication
- Coordinate with production and other departments for document collection or submission.
- Follow up on pending documents, forms, and corrective action records.
- Support scheduling of QA/QMS meetings, audits, and training sessions.
General Support
- Handle photocopying, printing, scanning, and administrative errands.
- Perform any other duties assigned by management or superior from time to time.
Job Requirements
- Minimum SPM / Diploma in Business Administration, Quality Management, or related field.
- Fresh graduates are encouraged to apply.
- Basic knowledge of Microsoft Office (Excel, Word, PowerPoint).
- Good filing and document management skills.
- Able to work independently with minimum supervision.
- Good communication and interpersonal skills.
- Detail-oriented, organized, and able to maintain confidentiality.
- Experience in manufacturing or QA/QMS environment is an added advantage.
Preferred Skills
- Knowledge of ISO documentation practices is an advantage.
- Familiar with quality documentation and audit preparation.
- Basic understanding of manufacturing operations.
Job Types: Part-time, Contract
Contract length: 3 months
Pay: RM1,700.00 - RM2,500.00 per month
Work Location: In person
