Job Description

Responsibilities

We are looking for a proactive and organized Admin Assistant to support daily office operations and ensure a smooth, welcoming, and efficient workplace environment.


Key Responsibilities

  • Sign for daily deliveries and ensure all mail and packages are distributed accordingly
  • Serve guest or visitors by greeting and directing them appropriately, prepare coffee or tea to
    guest when required.
  • Answering general incoming call and response accordingly
  • Order office supplies and keep inventory of stock including pantry items, cleaning items, &
    stationeries; perform name card ordering upon request
  • Replenish pantry items and stationeries
  • Assist in preparing staff welfare activities such as gathering or festive celebrations
  • Arrange airport transportation for China expatriate staff
  • Arrange hotel and flight booking with travel agency
  • Arrange, monitor and coordinate office and hostel cleaning
  • Communicate with technician, contractor or building management if there is any repair
    or upgrade work required for Office and Hostel
  • Arrange pest control and pantry sludge removal by monthly basis
    Compile invoices tracking and monitor office payment status with Finance team
  • Record and manage renewal of office fire extinguishers
  • Apply and manage building access cards and office entrance access
  • Coordinate courier bookings and delivery arrangements upon request
  • Perform other administrative duties such as filing, photocopying, scanning etc
  • Perform any other ad-hoc duties as assigned by the superior


Requirements


  • Minimum SPM/"O" Level or Diploma in any field
  • Proficient in Microsoft Office applications
  • Pleasant personality with a professional attitude and appearance
  • Resourceful, proactive, and able to handle issues efficiently
  • Good multitasking and time management skills with the ability to prioritize tasks
  • Able to work independently and as part of a team
  • Knowledge of Mandarin will be an added advantage

Working Days - Monday - Friday
Working Hours - 8.30 am- 6.00 pm
Salary - RM 2200 - RM 2400 (Depends on the experience)
Working location - Damansara City Mall
