Job Responsibilities

As Admin Assistant, you will play a crucial role in managing the day-to-day administrative operations of PTGI, ensuring efficient processes and seamless communication between students, parents, and staff. Your responsibilities include:

Student Enrolment & Withdrawal:

  • Managing student registrations, transfers, and withdrawals

  • Updating and maintaining student records

Staff Onboarding & Termination:

  • Coordinating new staff onboarding, including documentation and orientation

  • Handling staff resignations and ensuring proper exit procedures

Accounts & Invoicing:

  • Issuing invoices, tracking payments, and handling fee collection

  • Managing financial records, including reconciliation and knock-offs

Social Media Management (Provisional, Non-Mandatory)

  • Assisting with basic social media updates and engagement, if required

Parent Communications

  • Acting as the main point of contact for parents regarding enrolments, payments, and general inquiries

  • Addressing parent concerns and providing necessary support

SOPs, Guidebooks, and Handbooks

  • Developing and maintaining administrative SOPs, employee guidebooks, and student handbooks

E-Invoicing & Digital Documentation

  • Implementing and managing electronic invoicing systems for smooth transactions

  • Ensuring proper documentation and record-keeping for compliance

Qualifications & Skills

  • Fluency in Mandarin is mandatory to communicate with Mandarin speaking students, parents & staff.

  • At least 1 year working experience

  • Knowledge of social media management is a plus but not mandatory
