Responsibilities
Job Summary
The Building Executive is responsible for overseeing the daily operations, maintenance, safety, and compliance of the building to ensure a safe, efficient, and well-maintained environment. The role includes coordinating maintenance works and service providers, handling tenant relations, monitoring operational costs and utilities, supporting emergency response activities, and maintaining proper documentation and reporting for building operations.
Job Responsibilities : -
1. Facilities and Property Operations Management
Oversee the maintenance and operation of all building systems, including HVAC, electrical, plumbing , security, elevators, and fire protection systems etc. Ensure that all systems function efficiently and safely, escalating issues as appropriate.
Conduct routine inspections to assess the condition of facilities, identify maintenance needs, and ensure compliance with established safety and cleanliness standards.
Coordinate and implement preventive maintenance programs and schedules to maintain optimal facility performance.
Supervise daily building operations, including maintenance, security, and cleanliness, to ensure a safe and well-maintained environment.
2. Vendor and Contractor Coordination
Manage and maintain professional relationships with external contractors and service providers, ensuring full compliance with obligations and established services quality standards.
Monitor, assess, and evaluate the performance of service providers—including cleaning, security, landscaping, and pest control—and implement corrective actions as required.
Ensure strict adherence to all terms and conditions outlined in agreements and contracts.
3. Health, Safety, and Regulatory Compliance
Ensure compliance with all applicable health, safety, and environmental regulations.
Conduct periodic safety audits, fire drills, and emergency preparedness exercises to uphold safety standards.
Maintain comprehensive documentation for regulatory compliance, including valid fire safety certifications, lift certifications of fitness etc.
Promptly address incidents and accidents, ensuring that appropriate corrective and follow-up actions are implemented.
Serve as the liaison with local regulatory authorities to ensure adherence to building codes and statutory requirements.
4. Tenant and Customer Relations
Act as the primary point of contact for tenants regarding building maintenance concerns, complaints, and service requests.
Respond promptly and professionally to tenant inquiries and resolve issues effectively.
Communicate scheduled maintenance activities, building upgrades, or any operational disruptions to tenants in a timely manner.
Facilitate tenant move-in and move-out processes, coordinating necessary renovations and repairs to ensure smooth transitions.
5. Budget Management and Cost Control
Assist in propose and prepare the operating budget for building maintenance, ensuring operational efficiency.
Identify and recommend cost saving opportunities without compromising quality orservice standards. Propose strategies to enhance operational efficiency and reduce overall costs.
Prepare reports and manage budgetary documentation related to building operations.
Monitor utility consumption (water, electricity, gas) and implement measures to optimize usage and reduce cost.
6. Emergency Response and Crisis Management
Propose, implement, and regularly update emergency response protocols to safeguard occupants during emergency or crisis.
Coordinate with emergency response agencies, including fire, police, and medical services, as necessary.
Ensure prompt response to emergencies and effective resolution of onsite incidents.
7. Reporting and Documentation
Maintain accurate and comprehensive records pertaining to building maintenance, repairs, inspections, and compliance activities.
Prepare and present regular reports on building performance, maintenance progress, and outstanding issues.
Ensure thorough documentation of tenant communications and all operational matters to support transparency and accountability.
8. Operational Support
Coordinate tenant fit-out, renovation, reinstatement, and contractor activities in compliance with building operational and safety requirements.
Monitor contractor work permit compliance, safety practices, and housekeeping standards during maintenance and renovation activities.
Job Requirements:
Degree/ Diploma in Property Management, Facilities Management, Engineering, or related field.
Minimum 2 - 5 years of experience in building operations or facilities coordination.
Good knowledge of building systems, maintenance practices, and regulatory compliance.
Able to prepare operational reports, incident reports, meeting updates, and maintenance follow-up documentation.
Familiarity with OSHA requirements, emergency response procedures, and basic safety practices is an added advantage.
Experience in commercial building, retail mall, or mixed development environment is preferred.
Willing to attend after-office-hours operational matters, emergency situations, and night works when required.
Hands-on, operationally driven, and able to work in a fast-paced environment.
Strong coordination, negotiation, and problem-solving skills.
Able to manage multiple tasks and work independently.
