Job Description

Responsibilities

What you will do:

1. HR Operations & Employee Lifecycle Management

  • Manage end-to-end HR operations across the full employee lifecycle, including recruitment administration, onboarding, confirmation, transfers, promotions, employee status changes, contract renewals, exits, and offboarding processes

  • Ensure accurate preparation and administration of HR documentation including employment contracts, confirmation letters, transfer letters, salary adjustment letters, disciplinary documentation, and employee correspondence

  • Maintain employee records, HR files, documentation governance, and employee data accuracy

  • Lead employee onboarding and induction programmes to ensure a positive onboarding experience

  • Continuously review and improve HR operational processes, workflows, and employee administration practices

2. Talent Acquisition & Workforce Support

  • Support end-to-end recruitment activities including job postings, candidate coordination, interview scheduling, offer preparation, pre-employment documentation, onboarding readiness, and hiring administration

  • Partner with hiring managers on manpower planning, hiring coordination, and recruitment process execution

  • Support employer branding initiatives, recruitment campaigns, internship programmes, and talent pipeline development

  • Coordinate onboarding readiness including system access, documentation, and induction arrangements

3. Payroll, Compensation & Benefits Administration

  • Manage end-to-end payroll processing to ensure accurate, timely, and confidential salary payment for employees

  • Prepare and validate payroll inputs including attendance, leave records, overtime, allowances, claims, salary adjustments, unpaid leave, commissions, bonuses, and final salary calculations

  • Process statutory contributions and submissions including EPF, SOCSO, EIS, PCB, HRD Corp, and other applicable statutory requirements

  • Administer employee compensation and benefits matters including medical benefits, insurance, leave administration, employee claims, allowances, and employee welfare programmes

  • Liaise with finance, and relevant stakeholders where applicable

4. Employee Relations & Industrial Relations

  • Handle disciplinary matters, misconduct cases, grievance handling, investigations, counselling sessions, show cause processes, domestic inquiry coordination, and employee dispute resolution

  • Support management in workplace issue resolution, employee communication, conflict management, and employee engagement matters

  • Provide guidance on employment law interpretation and HR policy implementation

5. Performance Management & HR Administration

  • Coordinate performance management processes including probation reviews, confirmation assessments, annual performance appraisal cycles, increment administration, and performance documentation

  • Support managers and employees on performance management timelines, HR processes, and system administration

  • Maintain organisation charts, headcount reporting, workforce movement tracking, and HR dashboards

6. HR Systems, HRIS & Employee Data Management

  • Administer HR systems, employee master data, access governance, reporting accuracy, and HR system transactions

  • Ensure accurate employee data maintenance and reporting

  • Support HR digitalisation initiatives, employee e-file management, and process automation projects

7. Foreign Worker Administration (Where Applicable)

  • Manage foreign worker documentation, permit renewals, compliance administration, accommodation coordination, and employee welfare matters

  • Liaise with relevant authorities, vendors, and service providers to ensure compliance with local regulations

8. HR Projects & Continuous Improvement

  • Lead or support HR improvement initiatives, automation projects, policy harmonisation, HR process optimisation, and operational excellence projects

  • Participate in corporate HR initiatives, audits, system implementations, and transformation projects

  • Support ad-hoc HR projects and business initiatives as assigned

 What you need to have:

  •  Bachelor’s Degree in Human Resource Management, Business Administration, Psychology, or related discipline

  • Minimum 4 to 6 years of relevant HR generalist / HR operations experience

  • Strong hands-on experience in end-to-end payroll processing

  • Good working knowledge of Malaysia Employment Act, Industrial Relations practices, payroll governance, and statutory compliance

  • Strong experience in HR Operations, Payroll Administration, Employee Relations / Industrial Relations, Recruitment & Onboarding, HRIS / HR Data Management, Performance Management Administration, Employee Lifecycle Administration, HR Compliance & Governance and Foreign Worker Administration (preferred)

  • Strong knowledge of statutory submissions including EPF, SOCSO, EIS, PCB, HRD Corp

  • Strong organisational, problem-solving, and stakeholder management skills

  • Proactive, hands-on, detail-oriented, and able to work independently

  • Good communication and interpersonal skills

  • Proficiency in Microsoft Office and HR systems

  • Office location - Balakong Industrial Park
