Responsibilities
Role Overview
We are seeking a detail-oriented, reliable and highly discreet Investment & Private Assistant to support the principal in instructed trade execution, transaction and client reporting, institutional coordination, administrative matters, travel arrangements and maintenance of the company’s AI assistant system. The ideal candidate should be familiar with IBKR, proficient in Office and AI tools, and comfortable handling confidential and time-sensitive assignments.
Key Responsibilities
Investment and Trading Support
Execute Hong Kong and U.S. stock trades through IBKR or other designated platforms strictly according to instructions.
No independent market judgement or investment decision-making is required.
Record, reconcile and report trade execution details on the next trading day.
Prepare weekly reports for designated clients and assist with other investment-related materials.
Conduct investment market research or data organisation during available time.
Administrative and Institutional Coordination
Liaise with banks, brokers, auditors and other professional service providers.
Follow up on account opening, KYC, audit, document signing and material submission.
Organise and archive company and client documents, ensuring accuracy, completeness and confidentiality.
Private and Daily Assistance
Assist with flight bookings, travel arrangements, document preparation and daily follow-ups.
Assist in maintaining and improving the company’s AI assistant system.
Handle other ad hoc tasks assigned by the principal.
Work Arrangement
As the role involves U.S. stock trade execution, support outside normal Hong Kong office hours may be required, including evening trade execution, urgent responses or other time-sensitive arrangements. The frequency and arrangement will be discussed.
Where support outside normal office hours is required, the employee may have sufficient rest on the following day and return to the office or resume work after midday.
The company encourages prior communication and reasonable scheduling, and aims to avoid prolonged, continuous or unnecessary late-night work.
Requirements
Proficient in IBKR or similar securities trading platforms; experience with Hong Kong and U.S. stock trade execution is preferred.
Strong command of Microsoft Office, especially Excel, Word and PowerPoint.
Proficient in AI tools; basic programming or automation skills, such as Python, are preferred.
Good written English, with the ability to handle emails, account documents and financial institution materials.
Detail-oriented, disciplined and able to execute instructions accurately.
Strong sense of confidentiality and discretion when handling company, client and private information.
Able to work in a fast-paced and multi-tasking environment.
Must have the legal right to work in Hong Kong; where necessary, the company may assist with IANG or employment visa renewal matters.
