Responsibilities
A Singapore-based freight forwarder handling 100–300 TEU/month across Asia-Pacific export trades is hiring a Freight Operations Admin. This role focuses on essential documentation checking, data entry, and proactive communication with partners and clients to ensure smooth export workflows.
Comprehensive on-the-job training will be provided for industry-specific systems (TradeNet).
System Data Entry & Updates: Accurately input and update shipment milestones, container numbers, and billing details into our freight forwarding system.
Documentation Checking & Processing: Assist in preparing and verifying shipping documents (Draft Bills of Lading, Packing Lists, and Commercial Invoices) for accuracy.
Frontline Coordination: Act as a key point of contact for routine updates—liaising with shipping lines, co-loaders, and vendors to confirm booking statuses and container releases.
Customer & Supplier Liaison: Confidently follow up with suppliers, vendors, and customers to request missing details, clear up documentation discrepancies, and provide timely status updates.
Permit Administration (Training Provided): Learn and assist with the preparation of TradeNet declarations and e-permit submissions under senior guidance.
Operational Support: Keep track of vessel schedules and gate-in cut-offs, flagging any immediate delays to the operations team.
Experience: 0–2 years of administrative or clerical experience. Open to proactive fresh graduates (ITE/Diploma) or career switchers keen to enter the logistics industry.
Communication & Soft Skills:
Strong communication skills—comfortable picking up the phone to chase vendors or update clients.
Fast and accurate data entry skills with high attention to detail.
Highly organized, responsible, and a positive learning attitude.
Language Proficiency: Proficient in spoken and written Mandarin is required, as the role involves daily communication and coordination with Mandarin-speaking suppliers, customers, and regional partners.
Technical Aptitude: Tech-savvy and quick to adapt to new computer programs. Prior TradeNet experience is not required, as full training will be provided.
Qualifications: O-Levels, ITE, or Diploma in any field.
Salary: S$2,300 – S$2,800 / month (Depending on experience)
Annual Wage Supplement (AWS): 1 month
Variable Bonus: Performance-linked

Hours: Monday – Friday, 9:00am – 6:00pm
Location: Kembangan Plaza (opposite Kembangan MRT)
