Job Description

Responsibilities

A well-known healthcare company is looking for a Senior HR Executive to drive HR operations.

Your new company

You will be joining a healthcare company, recognised for its multidisciplinary approach and strong clinical expertise. The organisation has built a solid reputation in patient care and is now entering an expansion phase, scaling both its facilities and workforce.


Duties and responsibilities

Payroll

  • Update staff payroll details such as OT claims, allowances, medical expenses, unpaid leave/ emergency leave, increment, bonus into payroll system.
  • Sort and check claim forms according to their staff number.
  • Calculate wages due from records of hours / days worked or work performed by temporary / locum staff
  • Process monthly payroll accurately and promptly using Info-Tech HR Software
  • Submit payroll report to Head of Finance for approval.
  • Upon approval, submit the diskette and staff name list to the bank for auto debit payment.
  • Prepare cheque payment to staff.
  • Prepare payslips to staff and distribute to respective Heads of department (HODs) together with a staff distribution list.
  • Ensure timely submission of statutory payments such as EPF, PCB, SOCSO and HRDF to the respective statutory bodies.
  • Prepare yearly EA form and distribute to respective Heads of department (HODs) together with a staff distribution list.

Employee Status Records

  • Update records to reflect changes in employees' leave entitlement and balance of leave (annual leave, unpaid leave, emergency leave and medical leave).
  • Ensure all unpaid leave are duly deducted from the staff pay.
  • Update leave forms and MC manually and input data into Info-Tech HR Software.
  • Generate and email staff attendance report to HOD every month or as and when requested.
  • Input sick leave and medical trends to ensure staff annual/contract limit is not exceeded and any abuses/misused are identified.
  • Categorize the medical leave according to the respective doctors and FMM sisters and generate the monthly medical expenses report.
  • Analyze attendance sheet to ensure any non-pair ( clock in & clock out) is investigated, and if non-compliance is proven, to highlight to Assistant HR Manager/HR Manager/ Head of Human Resources to initiate disciplinary actions to repeat offenders.
  • Check and monitor staff confirmation in Info-Tech HR Software.
  • Check and monitor expiry dates of fixed term contracts.
  • Ensure timely circulation and receipt of Personal Data Update Form (PDU) from staff and thereafter to update in Info-Tech HR Software and file in respective personnel files.
  • Prepare Board papers and other relevant reports requested by Management from time to time.
  • Input staff yearly performance appraisal score, prepare the appraisal report/ graphs for the purpose of yearly bonus/ increment payment.
  • Assists in preparation of documentation for internal audit/ yearly SIRM and MSQH audits.
  • Filing all relevant documents promptly and accurately.

New Staff Records

  • Update new staff personal details such as name, address, basic salary, department/ ward, fixed allowances, fixed deductions and family details into payroll system.
  • Ensure all documents as per checklist i.e. EPF, LHDN, SOCSO, bank account number, beneficiary forms and all related documents are intact.
  • Update IT department to create new email account for new staff.

Staff Resignation

  • Advise the HR Executive/respective HODs on resigned staff leave balance.
  • Prepare resigned staff payroll as per payroll P & P
  • Update IT department on resigned staff last working day to terminate staff email account.

General Admin

  • File all relevant documents promptly and accurately into respective files.
  • Provide general administrative assistance and support to the department.
  • Perform any other tasks as assigned by Head of department and Management from time to time.
  • Perform despatch functions to banks, IRB, EPF/other statutory bodies, IR department, MEF, clinics, police stations etc as and when required.

Leave Administration, Staff Attendance & Medical Expenses

  • Check all leave forms (annual leave, unpaid leave and emergency leave, medical leave), submit to Head of Human Resources for approval and upon approval, proceed with recording and updating.
  • Send MCs from non-panel clinic to Chief Medical Services Officer for verification.

Recruitment

  • Assist in resume search in Job Street or other on-line job portals
  • Follow-up on selection process (i.e. reference check, medical check-up, and approval to hire)

Learning & Development Activities

  • Providing general administrative assistance and support to the HR Manager.


What you'll need to succeed

  • 2-5 years experience in HR generalist
  • Strong in payroll and HR operations
  • Attention to detail
  • Willing to work in fast-paced environment
