Responsibilities

Job Descriptions:

HR Roles

  • Manage the HR and Admin department of the Group of Companies, reporting to the HRA Assistant Manager.
  • Work closely with the team to schedule and coordinate interviews between candidates and hiring managers.
  • Source and liaise with recruitment agencies and job portals.
  • Responsible for Malaysia & Philippines office HR payroll checking and verification.
  • Liaise with eXpats agency of Malaysia Digital Economy Corporation (MDEC) for hiring of foreign knowledge workers.
  • Conduct orientation and briefing for new hires.
  • Maintain HR policies in accordance with Labour Laws and the Group Employee Handbook.
  • Handle employee counselling, disciplinary matters, show cause letters and warning letters when necessary.
  • Prepare and issue HR letters such as employment letters, confirmation letters, promotion letters and other HR documents.
  • Maintain employee records, leave administration and attendance monitoring.

Requirements:

  • Good communication skills including written and spoken English and Bahasa Malaysia.
  • Candidate must possess at least Diploma or Degree in Human Resource Management or related studies.
  • Skills in using PC (Microsoft Office, Outlook, Excel and PowerPoint), emails and internet are mandatory.
  • At least 3 years of working experience in Human Resources and Administration functions.
  • Strong experience in office administration, coordination and management support is preferred.
  • Candidate must be able to handle both HR and administrative responsibilities independently.
  • Experience in handling management coordination, office operations, business license renewals, company assets and meeting arrangements will be an added advantage.
  • Possess strong interpersonal skills, problem-solving skills, multitasking ability, proactive attitude and able to work independently.
  • Must be able to prioritize and plan work activities efficiently.
  • Must be organized, accurate, attentive to details and able to monitor work quality and accuracy.
  • Must be dependable, able to follow instructions and respond positively to management feedback.
  • Mature, patient and able to handle confidential matters professionally.

Administrative Roles

  • Oversee daily office administration and ensure smooth office operations.
  • Manage the administrative functions of the Group of Companies together with the Group Finance Manager.
  • Ensure all business licenses and company registrations are renewed on time for Malaysia & Philippines offices.
  • Coordinate management meetings, staff meetings, company events, offsite activities, team building and product launches.
  • Support management on calendar management, scheduling meetings, coordinating appointments and meeting follow-up actions.
  • Prepare meeting agenda, minutes of meeting and related documentation.
  • Handle travel arrangements including flight booking, hotel accommodation and visa coordination when required.
  • Coordinate office maintenance, office supplies, vendors and company administrative matters.
  • Manage company assets including company vehicles, office equipment, laptops and computers.
  • Ensure proper filing, documentation and administrative record keeping.
  • Monitor office operational costs and ensure cost-effective administration management.
  • Experience with MDEC requirements for MD status will be an added advantage.
  • Responsible for any ad-hoc duties assigned by Management.

  • Organized, responsible and proactive
  • Comfortable handling both HR and Admin functions in a fast-paced working environment
  • Good in communication, coordination and follow-up with internal departments and external parties
  • Able to work independently with minimal supervision
  • Candidates who are available immediately or able to serve short notice will be preferred

Pay: RM3,500.00 - RM4,500.00 per month
