We are looking for a hands-on Senior Admin Executive/ Admin Executive to plan, manage and take ownership of daily admin operations covering facilities, maintenance, company properties, warehouse, logistics, company vehicles and operational support matters.
Responsibilities:-
- Take ownership of daily facilities, maintenance and workplace operational matters to ensure issues are followed through until completion.
- Plan, arrange and monitor maintenance schedules, repair works, servicing and workplace upkeep.
- Personally follow up with contractors, cleaners, security, building management, landlords, vendors and service providers to ensure timely action.
- Conduct site/facility checks when required and identify defects, safety concerns, repair needs and improvement areas.
- Manage company properties, tenancy matters, licenses, permits and renewal schedules.
- Handle warehouse administration, inventory records, stock movement and logistics arrangements.
- Arrange company vehicle servicing, repairs, road tax, insurance renewal and related records.
- Plan and monitor maintenance/service team manpower, work schedules, task assignments, attendance, overtime records, reports and documentation.
- Propose and support building enhancement, facility improvement and preventive maintenance initiatives.
- Maintain proper records for maintenance, tenancy, licenses, insurance, vendors, assets and inventory.
- Prepare reports, highlight operational issues and recommend practical improvements to admin workflows and SOPs.
Requirements
- Minimum SPM qualification. Diploma/Degree holders may also apply.
- 3–5 years’ experience in admin operations, facilities, maintenance coordination, property admin, warehouse/logistics or related operational roles.
- Must be hands-on, responsible, committed and willing to take ownership until tasks are completed.
- Able to plan, prioritize, follow up closely and solve operational issues independently.
- Able to conduct physical checks, attend to defects/maintenance issues and coordinate rectification works.
- Able to manage manpower planning, work scheduling, task assignment and maintenance/service records.
- Willing to work after office hours, weekends or public holidays when required for maintenance works, urgent rectification or operational needs.
- Good communication, coordination and vendor management skills.
- Computer literate and able to manage documentation, records and reports efficiently.
- Mature, proactive, detail-oriented and able to work under pressure.
