Responsibilities

Job Objective

We are looking for a reliable Admin Assistant to ensure the efficient daily operation of our office. The successful candidate will assist management, support work teams and provide polite, professional assistance to all office visitors.  


Key Responsibilities

  • Front Desk & Visitor Management : Greet, welcome and direct visitors appropriately while providing general support.  
  • Communication : Answer and direct incoming phone calls efficiently.  
  • Data & Filing : Develop, organize and maintain a proper office filing system.  
  • General Admin : Carry out daily administrative duties including typing, copying, binding and scanning documents.  
  • Team Support : Support continuity among work teams by documenting and communicating actions, irregularities and ongoing needs.  
  • Correspondence : Distribute office correspondence, memos, letters and forms.  
  • Office Maintenance : Maintain a safe and clean office area by complying with company procedures, rules and regulations.  
  • Inventory & Equipmen t: Maintain office supplies inventory and ensure the operation of office equipment by completing preventive maintenance requirements.  
  • Ad-Hoc Tasks : Handle non-routine or ad-hoc tasks delegated by management from time to time.  


Job Requirements

  • Education : Diploma in Office Management or an equivalent qualification.  
  • Experience : Minimum of 1 year of prior administrative experience.  
  • Technical Skills : Good knowledge and practical skills in Microsoft Office software.  
  • Writing Skills : Able to demonstrate strong reporting and administrative business writing skills.  
  • Soft Skills : Excellent verbal communication and telephone etiquette.  
  • Strong multitasking abilities with great attention to detail and accuracy.  
  • A proactive attitude with a genuine desire to create a positive experience for others and meet their needs.  


Key Performance Indicators (KPIs)

  • Ensuring the smooth and efficient operation of daily administrative functions to enable maximum utilization of office services.  
  • Maintaining high responsiveness and preparedness in handling both routine and unexpected office requirements.
