Responsibilities

Job Summary

The Project Admin Assistant is responsible for providing administrative and coordination support for project activities, ensuring proper documentation, timely communication, and smooth daily operations of the project team.

Key Responsibilities

  • Provide administrative support for project-related activities and documentation.
  • Prepare, organize, and maintain project files, reports, quotations, invoices, and correspondence.
  • Coordinate with suppliers, contractors, and internal departments on project matters.
  • Monitor project timelines and follow up on pending tasks or submissions.
  • Assist in preparing purchase requests, work orders, and project documentation.
  • Schedule meetings, site visits, and appointments for the project team.
  • Record meeting minutes and distribute relevant information accordingly.
  • Ensure proper filing and record keeping of all project documents.
  • Track delivery schedules and ensure timely submission of required documents.
  • Assist in project progress updates and reporting.
  • Handle ad-hoc administrative duties assigned by management.

Requirements

  • Diploma or Degree in Business Administration, Management, or related field.
  • Minimum 1–2 years of working experience in administration or project coordination.
  • Good communication and coordination skills.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Able to multitask and work independently in a fast-paced environment.
  • Good organizational and documentation skills.
  • Experience in signage, retail, renovation, or project environment will be an added advantage.

Preferred Skills

  • Good follow-up and problem-solving skills.
  • Attention to detail and accuracy in documentation.
  • Able to work closely with multiple departments and vendors.
  • Familiar with quotation, PO, invoicing, and project tracking processes.

Pay: RM2,200.00 - RM2,500.00 per month
