Responsibilities

About the role

We are seeking an experienced and proactive Personal Assistant to support senior executives and ensure smooth daily operations.

What you'll be doing

  • Manage Executive’s Schedule: Organize diaries, travel, and meetings with accuracy and efficiency.
  • Facilitate Communication: Act as the main contact for executives, handling correspondence clearly and professionally.
  • Document Management: Maintain filing systems, prepare meeting materials, take minutes, and ensure confidentiality.
  • Event Coordination: Plan and support internal/external events and office activities seamlessly.
  • Cross‑Department Collaboration: Work closely with various departments to support projects and initiatives.
  • Stakeholder Engagement: Provide good service to internal and external stakeholders.
  • Problem‑Solving: Demonstrate detailed, proactive, and resourceful decision‑making in daily tasks.
  • Organize and Maintain Office Systems: Ensure smooth operation of office processes and procedures.
  • Manage Incoming Calls, Emails, and Correspondence: Handle communications efficiently and professionally.

Job Requirements

  • Bachelor’s Degree or Diploma in Secretarial Practice, Business Administration, or related field preferred.
  • Minimum 3–5 years of experience as a Personal Assistant or Executive Assistant, ideally supporting senior leaders (CEO/Director). Operational experience will be considered an added advantage.
  • Excellent verbal and written communication skills in Mandarin and English.
  • Ability to work independently and handle multiple tasks
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team, with discretion and attention to detail.
  • Proactive and flexible approach, able to manage diverse tasks under pressure.
