Job Scope / Responsibilities

We are looking for a proactive and responsible Project & Admin Executive to support office and outlet renovation projects, maintenance coordination, and daily administrative operations. The ideal candidate should possess good communication skills, strong coordination ability, and be able to work closely with contractors, suppliers, and internal teams to ensure smooth project execution.

Job Scope / Responsibilities

Renovation & Project Coordination

  • Coordinate renovation, maintenance, and fit-out works for office, retail outlets, and company properties.

  • Liaise with contractors, suppliers, and service providers to ensure projects are completed on time and within budget.

  • Monitor project progress, work quality, and timelines, and provide regular updates to management.

  • Conduct site visits and inspections to ensure compliance with company standards, safety regulations, and operational requirements.

  • Assist in office setup, space planning, furniture arrangement, and facility improvement projects.

  • Handle basic troubleshooting and follow-up on maintenance issues for outlets and office facilities.

Administrative Support

  • Manage daily administrative duties including documentation, filing, and correspondence.

  • Prepare purchase orders, quotations, invoices, and project-related documents.

  • Maintain proper records for renovation, maintenance, and office administration matters.

  • Coordinate meetings, schedules, and project timelines with internal departments and external vendors.

  • Support management in general office administration and operational tasks.

Job Requirements

  • Diploma or Degree in Business Administration, Project Management, Interior Design, Building Management, or related field.

  • Fresh graduates are encouraged to apply. Candidates with 1–2 years of working experience in administration, renovation, facilities, or project coordination will have an added advantage.

  • Able to communicate in Mandarin, English, and Bahasa Malaysia. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.

  • Strong coordination, communication, and negotiation skills.

  • Good organizational and multitasking abilities with attention to detail.

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).

  • Able to work independently, responsible, and willing to learn.

  • Willing to travel, visit outlets, and work on-site when required.

  • Possess own transport and valid driving license will be an added advantage.
