Responsibilities
Role Overview
The Sea Freight Customer Service Executive is responsible for managing end-to-end ocean freight shipments, ensuring timely coordination with customers, carriers, and internal teams. The role focuses on operational accuracy, customer satisfaction, and compliance with international shipping regulations.
Key Responsibilities
1. Shipment Coordination
· Handle full-cycle sea freight shipments (FCL & LCL)
· Arrange bookings with shipping lines and co-loaders
· Coordinate cargo readiness with shippers and warehouses
· Monitor vessel schedules and transit timelines
2. Customer Service & Communication
· Act as the primary contact for customers on shipment status
· Provide proactive updates on delays, rollovers, or issues
· Handle customer inquiries, complaints, and service recovery
· Build long-term relationships with key clients
3. Documentation Management
· Prepare and verify shipping documents:
· Bill of Lading (B/L)
· Commercial Invoice & Packing List
· Shipping Instructions (SI)
· Ensure compliance with export/import regulations
· Coordinate with customs brokers where required
4. Carrier & Vendor Coordination
· Liaise with shipping lines
· Negotiate space, rates, and resolve operational issues
· Work with trucking vendors, depots, and warehouses
5. Operational Tracking & Problem Solving
· Track shipment milestones (ETD, ETA, transshipment)
· Manage exceptions such as delays, port congestion, or documentation errors
· Ensure smooth cargo flow from origin to destination
6. Billing & Cost Control
· Verify freight costs and prepare invoices
· Ensure correct application of rates, surcharges, and local charges
· Coordinate with finance on payment follow-ups
7. Compliance & SOP Adherence
· Follow company SOPs and international shipping standards
· Ensure compliance with customs, port, and trade regulations
· Maintain accurate records in freight management systems
Key Requirements
Education & Experience
· Diploma or Degree in Logistics, Supply Chain, or related field
· 1–3 years experience in freight forwarding or shipping industry (sea freight preferred)
Skills & Competencies
· Strong knowledge of Incoterms
· Familiar with shipping documentation and customs processes
· Good communication and problem-solving skills
· Ability to multitask and handle high-volume shipments
· Proficient in MS Excel and logistics systems
KPIs (Performance Metrics)
· On-time shipment execution rate
· Customer satisfaction / complaint resolution time
· Documentation accuracy rate
· Billing accuracy and timeliness
· Shipment volume handled per month
Optional (Preferred) Skills
· Experience with reefer, DG cargo, or project shipments
· Knowledge of port operations (e.g. Port Klang)
· Multilingual (English, Mandarin, Bahasa Malaysia)
Job Type: Permanent
Pay: RM2,000.00 - RM3,000.00 per month
