Job Description

Responsibilities

Key Responsibilities:

  • Collaborate with internal teams to place orders, monitor delivery timelines, and adjust orders as necessary to meet operational requirements.
  • Prepare and manage documentation, including Sales Orders, Invoices, Purchase Orders (PO), and Delivery Orders (DO).
  • Coordinate closely with Sales, Admin, and other departments at HQ to ensure adherence to daily production schedules and delivery timelines.
  • Place purchase orders with brands, principals, and suppliers based on forecasted demand and campaign sales schedules.
  • Monitor the status of open purchase orders, ensuring timely delivery of products, resolving any issues, and preventing future challenges.
  • Expedite or defer purchase orders as needed, in alignment with changes in schedules and inventory levels.
  • Maintain and update stock tracking systems, sales records, and organized filing systems.
  • Verify invoices and payments to ensure accuracy and compliance with company policies.
  • Determine and maintain optimal inventory levels based on forecasted demand and variations.
  • Oversee inter-company material transfers between warehouse locations, ensuring smooth flow.
  • Address and resolve PO-to-invoice discrepancies, returns, and quality concerns with suppliers, principals, and brands.
  • Process and accurately enter data into systems, ensuring its reliability and consistency.

Requirements:

  • Warehouse/Operation experience: 1 year (preferred)
  • Proven experience in operations, logistics, or a similar role.
  • Must be fluent in English Language and Bahasa Malaysia.
  • Efficient time management skills & able to work in a fast pace environment
  • Able to work independently with minimal supervision
  • High Attention to detail
  • Proficiency in using office software and tools (e.g., Microsoft Office Suite) and accounting or ERP systems (e.g., QNE systems).
