Job Description

Responsibilities

Job Summary

We are looking for a proactive and detail-oriented HR Executive to support day-to-day human resource operations across multiple HR functions. This role works closely with employees and line managers to ensure efficient, accurate, and high-quality HR service delivery.

Key Responsibilities

1. Recruitment & Onboarding

  • Source and screen candidates via job portals, social media, and referrals
  • Coordinate interviews and support hiring processes
  • Manage onboarding, documentation, and employee records
  • Conduct orientation for new hires

2. Compensation & Benefits / HR Operations

  • Administer leave, attendance, and Infotech Time Management System (TMS)
  • Support payroll coordination including leave and claims verification
  • Manage HR movement documentation (confirmation, promotion, transfer)
  • Handle medical claims and employee records

3. Performance Management

  • Track probation and confirmation appraisals
  • Coordinate annual performance review processes
  • Maintain performance and salary records

4. Training & Development

  • Assist in training coordination and annual training plans
  • Maintain training records and documentation
  • Support internal training and ISO documentation updates

5. Employee Relations

  • Ensure compliance with Malaysian labour laws (EA, EPF, SOCSO, etc.)
  • Assist in disciplinary processes and grievance handling
  • Support employee engagement initiatives

6. Foreign Worker Administration

  • Assist in work permit renewals and compliance
  • Maintain proper documentation for foreign employees

7. HR Reporting & Administration

  • Compile HR reports, dashboards, and labour survey data
  • Ensure data accuracy in compliance with PDPA guidelines

Requirements

  • Diploma/Degree in Human Resource Management or related field
  • Minimum 2 years of HR experience
  • Familiar with Malaysian labour laws and HR practices
  • Proficient in MS Office, and Infotech / HRIS systems
  • Strong interpersonal, communication, and organizational skills
  • Detail-oriented, disciplined, and able to multitask
