Job Summary
We are hiring an Accounts Cum Admin Assistant to handle daily accounting support and general admin tasks. This role also requires coordinating by email with buyers and sellers/suppliers for order follow-ups, documents, and shipment updates.
Key Responsibilities Accounts (Core Duties)
- Prepare and issue invoices, quotations, purchase orders (PO) and other basic documents
- Update and maintain sales & purchase records in system/Excel
- Handle Accounts Payable (AP): check supplier invoices, prepare payment schedules, follow up
- Handle Accounts Receivable (AR): follow up customer payments, send reminders, update receipts
- Assist with bank reconciliation, petty cash, and expense claims
- Keep proper filing of receipts, invoices, and payment proof
- Support month-end tasks and coordinate with external accountant if required
Admin & Operations Support
- General office administration and document filing
- Coordinate basic shipment/admin documents (e.g., invoice, packing list, delivery documents)
- Track order status and update internal records
- Assist management with ad-hoc admin tasks when needed
Buyer/Seller Email Communication
- Communicate professionally via email with buyers and sellers/suppliers
- Follow up on prices, order confirmations, payment terms, delivery timelines
- Coordinate documentation requests and shipment updates
- Handle customer/supplier queries and escalate issues when needed
Requirements
- At least 1 year experience in accounts/admin (trading/import-export is a plus)
- Basic understanding of AP/AR, invoicing, and reconciliation
- Comfortable with Microsoft Excel / Google Sheets and accounting software (any system)
- Good written communication skills (English) for professional email handling
- Organized, responsible, and able to meet deadlines
- Able to multitask and work independently
Preferred (Bonus)
- Experience in import/export documentation or logistics coordination
- Mandarin speaking/reading (to communicate with China suppliers) – optional
