Job Description

Responsibilities

1. Event Concept & Planning

  • Develop event concepts, themes, and objectives based on client needs.
  • Create full event proposals, budgets, and timelines.
  • Conduct venue research and secure suitable locations.

2. Budgeting & Cost Control

  • Prepare and manage detailed event budgets.
  • Negotiate with vendors for the best rates.
  • Track expenses to ensure the event stays within budget.

3. Vendor & Supplier Management

  • Source and coordinate with suppliers: décor, AV, catering, entertainment, logistics, etc.
  • Oversee vendor contracts and deliverables.
  • Ensure smooth communication and alignment with event goals.

4. Client Servicing

  • Act as the main point of contact for clients.
  • Present concepts, updates, run-downs, and post-event reports.
  • Manage expectations, troubleshoot issues, and provide solutions.

5. Event Logistics & Operations

  • Plan complete event flow, agenda, and run-down.
  • Coordinate set-up, rehearsal, and tear-down operations.
  • Manage event registration, guest lists, seating plans.

6. Creative Direction

  • Propose ideas for stage design, theming, décor, and experiential elements.
  • Collaborate with designers and production teams to execute concepts.
  • Ensure visual and branding consistency throughout the event.

7. Marketing & Communication (if applicable)

  • Coordinate event promotional materials and campaigns.
  • Manage social media updates and press communications.
  • Oversee RSVP management and audience engagement.

8. On-Site Event Management

  • Lead the team during event day.
  • Ensure smooth execution according to the run-down.
  • Troubleshoot real-time issues immediately.

9. Post-Event Duties

  • Conduct post-event evaluation and ROI analysis.
  • Prepare recap reports with photos/videos.
  • Manage final billing, payments, and vendor settlement.

10. Team Leadership

  • Supervise coordinators, crew, and external staff.
  • Provide training and task delegation.
  • Maintain a professional and positive team environment.

Schedule:

  • Monday to Friday

Education:

  • Bachelor's (Preferred)

Experience:

  • 1 year and above (preferred)
