As Procurement & Logistics Admin Executive, you'll support the daily operations of our purchasing, supplier coordination, inventory monitoring, and logistics function. You're the person who makes sure purchase orders are raised on time, suppliers are followed up without being told, shipments are tracked accurately, and the warehouse knows what's coming and when.
This role is distinct from our Order Fulfillment Admin role, where that position focuses on outbound customer orders, this one focuses on inbound supply: procurement, inventory replenishment, supplier relationships, and the logistics and documentation that sit around them.
You'll report to the Operations lead and be expected to manage multiple open procurement and logistics threads simultaneously, maintain clean records, and flag issues before they cause stockouts or shipment delays.
What You'll Be Doing:
Procurement & Supplier Coordination
- Supporting daily procurement and purchasing activity — raising RFQs and purchase orders, tracking delivery orders and invoices, and coordinating payment schedules with the finance team
- Following up closely with suppliers on production progress, order status, and delivery lead times — not waiting for updates to arrive, but actively chasing them on a structured schedule
- Ensuring timely sourcing and material availability to support smooth production planning — flagging lead time risks before they become shortages
- Maintaining accurate supplier records, purchase order logs, and documentation across all active procurement activity
Inventory & Warehouse Coordination
- Monitoring stock levels across products and markets and coordinating replenishment activity to avoid both stockouts and overstock situations
- Coordinating with warehouse teams on daily inbound processes — communicating what's arriving, when, and in what quantities so receiving operations run smoothly
- Working with WMS systems on inventory updates, inbound confirmations, and operational tracking — supporting implementation and process improvements where needed
- Maintaining accurate inventory trackers and supporting regular stock reporting
Logistics & Shipment Management
- Handling shipment arrangements across air freight, FCL, and LCL — coordinating booking, documentation, and status tracking from origin to warehouse
- Managing logistics documentation for customs clearance, shipping, and import/export processes — ensuring accuracy and compliance across all shipment records
- Assisting with logistics billing, freight invoice verification, and payment coordination
- Working with 3PL, warehouse, and logistics partners on shipment visibility, exception handling, and operational updates
Reporting & Process Improvement
- Maintaining accurate, up-to-date records and trackers for purchasing, inventory, logistics, warehouse activity, and fulfillment reports
- Identifying recurring inefficiencies in procurement or logistics workflows and contributing to SOP improvements and operational upgrades
- Supporting the broader Operations team on cross-functional coordination as needed
What We're Looking For:
Must-Haves
- Experience in procurement, logistics, supply chain, purchasing, warehouse coordination, or inventory management
Strong Advantages
- Experience in DTC e-commerce, retail, or consumer goods operations — you understand the downstream impact of procurement and logistics decisions on customers and the business
- Knowledge of air freight, FCL, LCL, customs clearance, and shipping documentation
- Experience with ERP or WMS systems — even partial familiarity accelerates onboarding significantly
- Familiarity with sourcing platforms such as Alibaba or similar B2B procurement tools
- Experience coordinating with 3PLs, freight forwarders, and warehouses across multiple markets

- You wait for suppliers to update you — proactive follow-up on open POs and production timelines is a core expectation, not an occasional task
- You're not comfortable with detailed documentation and record-keeping — loose records in procurement and logistics create compliance, finance, and operational problems simultaneously
- You can't manage multiple open threads at once — this role routinely involves active procurement, in-transit shipments, warehouse coordination, and inventory monitoring running in parallel
- Familiarity with RFQs, purchase orders, delivery orders, invoices, supplier follow-ups, and shipment tracking — these are your daily tools
- Strong coordination and follow-up discipline — you track open items, chase suppliers and partners on schedule, and close loops without being reminded
- Highly organised and detail-oriented — accurate records and clean trackers are non-negotiable in a role that touches procurement, inventory, and logistics simultaneously
- Comfortable working with Google Sheets, Excel, or similar tracking tools at an intermediate level
- Able to multitask across multiple open threads and prioritise correctly in a fast-paced environment
Pay: RM1,800.00 - RM2,500.00 per month
