We are looking for a diligent and dedicated Personal Assistant to the Director who can provide seamless support in a fast-paced, diverse, and collaborative environment. In this role, you’ll be at the heart of executive coordination, communication, and strategic organization, helping drive efficiency and make an impact every day.
Job Responsibilities:
1. Executive Support
- Provide high-level administrative and personal support to the Managing Director.
- Manage appointment calendars, scheduling internal and external meetings.
- Coordinate travel arrangements, itineraries, and accommodations.
- Handle sensitive business and personal information with absolute confidentiality.
2. Communication
- Draft, proofread, and edit emails, letters, reports, and other documents in English and Mandarin.
- Respond to routine inquiries on behalf of the Managing Director in a timely and professional manner.
- Serve as a liaison between the Managing Director and internal/external stakeholders.
3. Meeting Management
- Prepare agendas, concise briefing notes, and supporting documents for meetings.
- Prepare official correspondence, executive reports, presentations and meeting materials.
- Attend meetings; take accurate minutes and follow up on action items.
- Translate or summarize Mandarin communication during meetings when required.
4. Office Coordination
- Ensure timely distribution of information within the executive team.
- Maintain confidential files, records, and documentation with discretion.
- Support coordination of company events, executive functions, or business engagements.
5. Project Assistance
- Assist in research, data collection, and preparation of reports.
- Support special projects as assigned by the Managing Director.
- Any other ad-hoc duties as assigned by Managing Director
Job Requirements:
- Diploma / Bachelor’s degree in Business Administration / Hospitality / Customer Service / Communications / Office Administration or related field.
- 1- 2 years experience in an executive support or administrative assistant role would be an added advantage.
- Professional proficiency in Mandarin (read, write, speak), English, and BM.
- Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
- Excellent organizational and time-management skills.
- Strong interpersonal skills and the ability to work with diverse teams.
