About the Role

We are seeking a highly organised Executive & Personal Assistant to provide comprehensive support to the Group CEO. This is a dual-function role spanning both executive and personal assistance - designed for someone who thrives in fast-paced, high-expectations environments and understands that seamless support at the Group CEO level extends beyond the office.

The ideal candidate is proactive, resourceful, and exercises sound judgment. You will manage a wide range of responsibilities - from complex scheduling and travel coordination to household management and family logistics - ensuring the Group CEO can operate at full effectiveness at all times.

Key Responsibilities

Executive PA Support

  • Own the Group CEO's calendar; scheduling internal and external meetings, managing conflict and ensuring optimal daily structure
  • Coordinate travel arrangements including flights, hotels, ground transfers, itineraries and visa applications
  • Manage all reimbursements and expense claims in a timely and accurate manner
  • Act as a first point of contact on behalf of the Group CEO, managing communications with discretion and professionalism

Personal Assistance

  • Support the management of the Group CEO's personal affairs and household, ensuring day-to-day matters are handled efficiently and with discretion
  • Plan and manage personal events as well as travel arrangements/ logistics
  • Provide support on ad hoc personal projects and transitions, as required
  • Liaise with external parties (i.e. agents, service providers, and vendors) on behalf of the Group CEO
  • Provide administrative support for various company events and team building initiatives
  • Assist in the planning and execution of internal engagement activities and staff-related programmes

Office Administration

  • Coordinate travel arrangements and logistics and internal teams, as required
  • Oversee office supplies and facilities upkeep to ensure well-maintained working environment
  • Manage onboarding and offboarding administration including office access setup/ reset
  • Handle telecommunications, billing administration and incoming correspondences on behalf of the office

Employee Engagement Support

  • Provide administrative support for various company events and team building initiatives
  • Assist in the planning and execution of internal engagement activities and staff-related programmes

  • Strong organizational and time management skills with excellent attention to detail
  • Ability to prioritize, multitask, and work independently in a fast‑paced environment
  • High level of professionalism, integrity, and confidentiality
  • Proactive by nature - anticipates needs rather than waiting to be directed
  • Warm and professional communicator who can represent the Group CEO effectively with both internal and external stakeholders
  • Adaptable and calm under pressure, with a flexible approach to shifting priorities
  • Comfortable operating across personal and professional boundaries that are inherent to a dual-function PA role

Skills & Experience

  • Diploma/ Degree in Business Administration, Secretarial Studies, or a related field
  • Minimum 4 years of experience as a Personal Assistant, Executive Assistant, or in a similar dual-function role
  • Prior experience supporting senior executives in fast-paced, entrepreneurial, or multi-entity environments strongly preferred
  • Strong organisational and time management skills; able to juggle multiple tasks
  • Comfortable working with senior stakeholders across different cultures and time zones
