We are looking for a proactive and people-oriented Clinic Administrator & Patient Care Coordinator to join our growing team.

This role combines clinic administration with patient communication and lead follow-up responsibilities. You will play an important role in ensuring smooth clinic operations while also helping prospective patients book appointments and feel supported throughout their journey.

Key Responsibilities:

Clinic Administration

  • Manage front desk and daily clinic operations
  • Handle appointment scheduling and calendar coordination
  • Register and assist patients during check-in/check-out
  • Manage WhatsApp, phone calls, and email enquiries
  • Process payments and issue invoices/receipts
  • Maintain accurate patient records and administrative documents
  • Coordinate with physiotherapists regarding schedules and patient matters
  • Ensure clinic cleanliness, organisation, and professionalism

Lead Follow-Up & Patient Coordination

  • Follow up with leads generated from ads
  • Contact potential patients via phone call and WhatsApp
  • Answer enquiries and guide leads through the booking process
  • Build rapport and maintain professional communication with patients
  • Follow up on missed appointments or unresponsive leads
  • Help improve appointment show-up rates and patient experience
  • Support marketing campaigns and promotional activities where required

Requirements

  • Prior experience in customer service, clinic admin, sales coordination, telesales, or receptionist roles preferred
  • Comfortable speaking on the phone and following up with leads
  • Strong communication and interpersonal skills
  • Organized, responsible, and detail-oriented
  • Comfortable using WhatsApp, Google Calendar, CRMs, spreadsheets, and basic computer systems
  • Able to multitask in a fast-paced environment
  • Positive attitude and willingness to learn
  • Healthcare or physiotherapy clinic experience is a bonus, but not required
