Job Overview
We are an established manufacturing/distribution organization certified under ISO 9001, AS9100 / AS9000, and ISO 13485. We are seeking a highly disciplined and detail-oriented Operations & Administration Executive to join our team. Because we operate in regulated aerospace and medical device environments, the ideal candidate must possess an exceptional eye for detail, a strong commitment to quality control, and experience maintaining rigorous documentation standards.

Key Responsibilities

  • Compliant Warehouse Management: Monitor stock levels and ensure all inventory is stored, handled, and segregated strictly according to ISO 13485 and AS9100 quality guidelines.
  • Traceability & Logistics: Coordinate product deliveries while ensuring full batch, lot, and serial number traceability from receiving to dispatch.
  • Quality Documentation: Prepare, review, and archive critical logistics paperwork including Certificate of Conformance (CoC), Delivery Orders (DO), packing lists, and incoming inspection logs.
  • Invoicing & Billing: Issue accurate commercial invoices and match them precisely against approved purchase orders and delivery fulfillment records.
  • Audit Readiness: Maintain flawless digital and physical filing systems to ensure the warehouse and shipping documentation are always prepared for external quality audits.

Job Requirements

  • Candidate must possess at least a Diploma or Bachelor's Degree in Business Administration, Logistics, Supply Chain Management, Engineering, or a related field.
  • Minimum of 2 years of working experience in operations, admin, or warehouse logistics—experience in an ISO certified environment is highly preferred.
  • Familiarity with quality management systems (QMS), Good Distribution Practice (GDP), or handling traceability logs is a significant advantage.
  • Proficiency in ERP or inventory software (e.g., SAP) and Microsoft Excel.
  • Strong command of written and spoken English and Bahasa Malaysia(ability to speak Mandarin is an added advantage). To manage highly precise technical documentation.
  • High level of integrity, accuracy, and accountability.
