Job Description

Responsibilities

We are looking for a full-time HR & Admin Manager who has a good understanding of both Singapore and Malaysia Employment Act. You will manage a team of 4 HR colleagues (3 in Singapore and 1 in Malaysia) to ensure smooth daily HR operations across both countries.

Requirements:

  • Degree in Human Resource Management, Business, or related discipline

  • At least 5–7 years of relevant experience in HR practices and operations, including knowledge of employee relations and compensation & benefits

  • Good understanding of Singapore and Malaysia Employment Act and related statutory regulations will be highly advantageous

  • Experience with HRIS systems, reporting tools, or HR data analytics will be an advantage

  • Strong analytical, organisational, and problem-solving skills with attention to detail

  • Good communication and stakeholder management skills

  • Able to manage multiple priorities in a fast-paced environment

  • Proactive, resourceful, and service-oriented mindset

Main Responsibilities

1.      Employee Lifecycle Management

  • Manage recruitment activities including job postings, interview coordination, candidate communication, and offer preparation

  • Execute onboarding, employee movements, confirmation, and offboarding processes

  • Maintain accurate employee records and ensure timely updates in HR systems

2.      HR Operations & Process Improvement

  • Review and streamline HR processes, policies, and workflows for efficiency and compliance 

  • Maintain HR SOPs and ensure policy updates are communicated and applied 

  • Coordinate HR operational initiatives and process improvement projects 

  • Lead UAT, rollout, and change management for new HR processes and tools

  • Handle queries and escalations and track resolution

3.      HR Technology & Systems Support

  • Implement, enhance, and maintain HR systems and digital HR initiatives 

  • Monitor system functionality and resolve issues with vendors and internal stakeholders 

  • Conduct data validation and support system testing

4.      Data Analytics & Reporting

  • Prepare HR reports, dashboards, and statutory workforce reporting

  • Analyse HR data to identify trends, gaps, and operational insights

  • Support improvements to reporting processes and automation of HR reports

5.      Benefits Administration

  • Administer employee benefits including insurance matters

  • Maintain accurate benefits records and ensure timely processing of claims and enrolments

6.      Employee Engagement & Communications

  • Support planning and execution of employee engagement activities and HR events

  • Prepare HR communications including announcements, employee updates, and internal HR information

  • Support training administration and funding application processes

7.      Compliance & Governance

  • Ensure HR data, processes, and documentation comply with company policies and employment regulations

  • Support audit requests and maintain required HR documentation and records

  • Ensure accuracy and integrity of HR data across systems and reports
