Responsibilities

About the role

IKAN Glampsite is seeking a skilled Procurement & Admin Executive to join our team in Kuala Lumpur. In this full-time role, you will be responsible for overseeing the procurement of goods and services, as well as managing various administrative tasks to support the efficient operations of our organisation.

Job Responsibilities

Procurement & Supplier Management

  • Manage daily procurement activities, including sourcing, purchasing, and supplier coordination

  • Research and identify reliable suppliers to procure high-quality materials and services at competitive prices

  • Analyse past and future inventory demand volumes, inventory trends, and make a forecast to minimise wastages or surplus

  • Negotiate contracts and manage supplier relationships to ensure timely delivery and cost-effective procurement

  • Build and maintain a strong and reliable supplier network

Inventory & Operations Support

  • Plan and forecast purchasing needs based on usage trends and outlet requirements

  • Monitor stock levels to minimise wastage and prevent shortages

  • Coordinate with warehouse and operations teams to ensure smooth supply flow

Project & New Outlet Support

  • Support procurement for new outlet openings (equipment, smallwares, supplies)

  • Ensure timely delivery and readiness for store launches

Coordination & Compliance

  • Work closely with Operations, Central Kitchen, Culinary, Finance, and Project teams

  • Support sourcing for new items and product development

  • Ensure compliance with food safety standards and internal policies

Administration

  • Issue purchase orders, track deliveries, and resolve discrepancies

  • Maintain procurement records, reports, and documentation

  • Perform ad-hoc duties and responsibilities as assigned by Management from time to time.

What we're looking for

  1. Minimum 2-3 years of experience in a procurement or administrative role, preferably within the manufacturing, transport, or logistics industry

  2. Strong negotiation and problem-solving skills, with the ability to work collaboratively with internal and external stakeholders

  3. Proficient in using procurement and inventory management software, as well as Microsoft Office applications

  4. Excellent attention to detail and organisational skills, with the ability to multitask and meet deadlines

  5. Good communication skills, both verbal and written, to effectively liaise with suppliers and colleagues

  6. A proactive and adaptable mindset, with a commitment to continuous improvement

  7. Sense of urgency and able to multitask
