Job Title: Personal Assistant / Administrative Executive
Job Scope:
The Personal Assistant / Administrative Executive will provide comprehensive administrative and organisational support to ensure smooth day-to-day operations.
Key Responsibilities:
- Manage and coordinate calendars, appointments, and meetings, ensuring efficient scheduling and prioritisation
- Handle correspondence, including emails, phone calls, and document preparation
- Assist in planning and coordinating meetings, events, and travel arrangements (flights, accommodation, itineraries)
- Prepare reports, presentations, and meeting minutes as required
- Maintain proper filing systems (both digital and physical) for easy retrieval of documents
- Liaise with internal teams, clients, and external vendors on administrative matters
- Support project coordination by tracking timelines, deliverables, and follow-ups
- Handle procurement of office supplies and manage basic office operations
- Assist with basic finance-related tasks such as invoice tracking, expense claims, and payment follow-ups
- Perform ad-hoc duties and special assignments as required
Requirements:
- Strong organisational and time management skills with attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and/or Google Workspace
- Ability to multitask, prioritise, and work independently in a fast-paced environment
- Discretion and professionalism when handling confidential information
