Position: Personal Assistant & Administrative Executive (Dental Clinic)
Reporting to: Clinic Owner / Principal Dentist
Job Overview
We are looking for a highly organized and proactive Personal Assistant & Administrative Executive to support the daily operations of a dental clinic and assist the clinic owner with both professional and personal administrative matters. This role requires strong multitasking skills, organized, discretion, and the ability to manage schedules and clinic coordination efficiently.
Key Responsibilities1. Personal Assistant Duties
- Manage and coordinate the clinic owner’s daily schedule, appointments, and meetings
- Handle personal errands, bookings, and reminders when required
- Act as a gatekeeper for calls, messages, and correspondence
- Maintain confidentiality of sensitive personal and business information
2. Administrative & Clinic Operations
- Oversee daily administrative functions of the clinic
- Manage patient appointments, scheduling, and follow-ups
- Handle phone calls, WhatsApp inquiries, and email communications
- Maintain and update patient records and filing systems
- Assist in billing, invoicing, and payment tracking
- Coordinate with suppliers for ordering dental materials and office supplies
- Ensure smooth front desk operations and patient experience
- Deal with licensing updates, panels and stock tracking
3. Staff & Operations Coordination
- Support staff scheduling and attendance tracking
- Assist in onboarding new staff and maintaining HR records
- Ensure clinic SOPs and administrative procedures are followed
- Liaise with external vendors, accountants, and service providers
4. Marketing & Business Support
- Assist with social media updates and basic marketing tasks
- Coordinate promotions, campaigns, and patient engagement activities
- Help prepare reports, presentations, and basic data analysis
Requirements
- Diploma/Degree in Business Administration, Management, or related field
- Previous experience as a Personal Assistant, Admin Executive, or Clinic Assistant is an advantage
- Strong organizational and time management skills
- Excellent communication skills (spoken & written)
- Proficient in Microsoft Office / Google Workspace
- Ability to multitask and work independently
- Trustworthy, detail-oriented, and professional
Job Types: Full-time, Permanent
Pay: RM2,000.00 - RM3,000.00 per month
