The Administrative Executive (Tendering) is responsible for managing the full tendering process across both government and private sector projects. This role ensures all tender submissions are accurate, compliant, and submitted on time while coordinating with internal teams to support business growth. Possessing design skills is an added advantage to enhance the quality and presentation of tender documents.
Key Responsibilities
- Prepare, compile, and submit tender documents for government agencies and private sector clients
- Review tender specifications, requirements, and scope of work
- Ensure compliance with:
- Government procurement regulations and submission standards
- Private sector requirements and company policies
- Monitor and track tender opportunities through:
- Government procurement portals (e.g., ePerolehan, MyProcurement)
- Private sector platforms and direct invitations
- Coordinate with internal departments (finance, legal, technical, procurement) to gather required documentation
- Manage company registrations and certifications (where applicable)
- Prepare administrative and statutory documents including forms, declarations, and company profiles
- Track tender deadlines and ensure timely and accurate submissions
- Handle tender clarifications, addenda, and correspondence with clients
- Attend tender briefings, site visits, or meetings when required
- Maintain organized records and proper filing of all tender documents
- Track tender outcomes and prepare reports or analysis
- Enhance the visual presentation and formatting of tender documents to improve professionalism and clarity
Requirements
- Diploma or Degree in Business Administration, Management, or related field
- 1–2 years of experience in tendering or administrative roles
- Familiarity with both government and private tender processes is an advantage
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and meet tight deadlines
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
Preferred Skills
- Basic design skills using tools such as Adobe Illustrator, Photoshop, Canva, or PowerPoint
- Ability to create visually appealing tender documents, proposals, and presentations
- Experience with ePerolehan or similar procurement systems
- Knowledge of tender compliance and documentation standards
- Basic understanding of contracts, costing, and procurement processes
- Experience in industries such as printing and creative services
