Job Description

Responsibilities

JOB DESCRIPTION : PROJECT ADMIN Schedule A

Reporting to the:

i. Project Manager

Job descriptions and responsibilities include but not limited to TSM’s and/or our associate silica beneficiation companies:

DOCUMENT CONTROL & QA/QC COORDINATION

Recording, checking, and tracking project documentation

Responsible for any incoming and outgoing correspondence, drawings, site instructions, delivery orders, RFI, ITP and other forms of documents

Liaise with Project Management & team, consultant and Sub-contractors effectively and resolve problems and issues relating to documentation

Update Master Deliverable Register for drawings and documentation on daily basis

Transmit new/revised IFC drawings to subcontractors according to their spec of work

Filed records, reports and logs and maintained Excel spreadsheets.

⁠Prepare official letters to authorities or subcontractors if required

⁠Assist for QA/QC documentation such as RFI, MRI, and reporting.

Verify that all subcontractor documentation is complete and accurate prior to submission to consultants.

Participate in internal audits with subcontractors to ensure full compliance with QA/QC standards, especially in documentation and filing systems.

Documentation or Document Controlling System:

Lead the project for establishing an efficient, sustainable Documentation or Document Controlling System across the organization, aligning with environmentally friendly practices;

Establish and maintain a systematic document control system, ensuring accessibility, accuracy, and compliance with industry standards and regulatory requirements;

Design and implement efficient archiving and retrieval protocols for critical documentation;

Develop document management policies and procedures to optimize the organization's document lifecycle

ADMINISTRATIVE WORK

Provide direct support for project administrative tasks and related duties.

Act as a key point of contact for employees, supporting interdepartmental communication related to project

Maintain an efficient filing and document management system for company records for all projects

Monitor and ensure smooth execution of Cleaning, Green Maintenance and Sanitation activities at the TSM project Site (Admin, Plant, and Port).

Welcome visitors and VIP guests, arranging for transportation, accommodations, and meals as necessary related to project.

Support liaison efforts with government authorities, ensuring compliance with the latest guidelines for all projects.

Help establish and maintain relationships with relevant government agencies to secure cooperation and facilitate information exchange.

Carry out any other duties as assigned by the management from time to time.

Job Types: Full-time, Permanent, Temporary

Pay: RM2,500.00 - RM2,900.00 per month
