Job Summary
We are looking for a Procurement Operations Specialist to support procurement and vendor management activities within a fast-paced FinTech environment, with a primary focus on the Marketing function. The role will be responsible for managing procurement operations, vendor onboarding, purchase requests, contract coordination, invoice tracking, and ensuring procurement compliance for marketing-related initiatives.
The ideal candidate should possess strong coordination skills, procurement process knowledge, stakeholder management capabilities, and experience supporting marketing procurement activities such as media buying, events, branding, digital campaigns, and agency management.
Key Responsibilities
Procurement Operations
- Manage end-to-end procurement operational activities for marketing-related purchases and services.
- Process purchase requisitions (PR), purchase orders (PO), and vendor onboarding requests.
- Ensure procurement activities comply with company policies, internal controls, and regulatory requirements.
- Maintain procurement documentation, vendor records, and contract databases.
- Coordinate with Finance for invoice processing, payment tracking, and budget alignment.
- Monitor procurement turnaround time and support continuous process improvement initiatives.
Vendor & Stakeholder Management
- Liaise with marketing agencies, media vendors, event suppliers, production houses, and other external partners.
- Support vendor evaluation, onboarding, due diligence, and contract renewal activities.
- Build strong working relationships with internal stakeholders including Marketing, Finance, Legal, Compliance, and Operations teams.
- Follow up with vendors and stakeholders to ensure timely delivery of services and resolution of procurement-related issues.
Marketing Procurement Support
- Support procurement activities related to digital marketing campaigns, branding initiatives, sponsorships, events, and promotional activities.
- Coordinate quotations, comparisons, and vendor selection processes for marketing projects.
- Assist in cost analysis and spend tracking for marketing procurement activities.
- Ensure proper documentation and approval workflows for marketing expenditures.
Compliance & Reporting
- Ensure procurement processes align with company procurement policies and audit requirements.
- Prepare procurement reports, vendor spend analysis, and operational updates.
- Support internal and external audit requests related to procurement documentation.
- Identify procurement risks and escalate issues where necessary.
Requirements Education
- Bachelor’s Degree in Business Administration, Procurement, Supply Chain, Finance, Marketing, or related field.
Experience
- 2–5 years of experience in Procurement Operations, Procurement Support, Vendor Management, or Purchasing.
- Experience supporting Marketing or Corporate Services procurement is an added advantage.
- Prior experience in FinTech, banking, financial services, technology, or fast-paced corporate environments is preferred.
Pay: From RM6,000.00 per month
