Job Description

Responsibilities

POSITION GOALS

To assist the immediate superior in providing administrative support to the site and to deal with the clients requests/inquiry. Undertakes any other duties as assigned by the Management/Immediate Superior.

Duties & Responsibilities

Administrative

  • To maintain and update the records of fixed assets.
  • To record incoming / outgoing mail.
  • To maintain a record of movement of the keys.
  • To provide administrative support such as calls, typing and filing, etc.
  • To issue car disc/labels or facilities passes to clients.
  • To record clients’ complaints for action by immediate superior.
  • To purchase items such as stamps/stationery/refreshments as and when required.
  • To input daily utilities consumption and produce reports for immediate superior.
  • To maintain leave records of site staff.

Accounts

  • To update MC strata roll and resident record as when there is a change of ownership or corresponding address.
  • To update Executive Diary Report.
  • To input GL and AR entries into computers regularly to ensure that they are up to date.
  • Prepare invoices / reminders to owners.
  • To issue cheques for invoices.
  • To answer owners’ queries on statements of accounts or invoices, etc.
  • To bank-in cheques / cash received and maintain proper records of deposits.
  • To produce certificates under Section 54(1)(c).
  • To do bank reconciliation and prepare monthly financial statements.

Accounts

  • To maintain a record on detailed breakdown of expenditure.
  • To maintain cash / petty cash book.

Others

  • To maintain bookings of recreational facilities.
  • To display notices or circulars on notice boards.
  • To oversee the collection and sale of old newspapers.
  • To record the collection of charges from facilities such as Laundromat, vending machines, coin phones, etc.
  • To participate and ensure that our services and activities are in compliance with the OMS procedure and standards.

Accountabilities

Successful completion of scheduled activities. Deal with complaints diligently and tactfully. Ensure that a high level of professionalism and customer service is maintained at all times.
