Responsibilities

Position: Sales Admin Executive

Industry: FMCG

Working Duration: 6 months contract (Fixed)

Working Location: One Avenue, Petaling Jaya, 47800, Selangor

Working Day/Hours: Monday – Friday; Office Hour

Availability: Immediately

Benefit & Compensation: Basic up to RM3,500 (Based on experience + skills) with Transport Allowance + Meal Subsidy + Staff Purchase Discount


Job Summary:

The Sales Admin Executive is responsible for supporting end-to-end commercial and account operations, including sales reporting, promotion execution, customer claims processing, and product listing coordination. The role ensures accurate data management, timely reporting, and smooth execution of in-store and commercial activities by working closely with Key Account Managers and cross-functional teams such as Finance, Supply Chain, and Logistics. This position requires strong attention to detail, Excel proficiency, and the ability to manage multiple stakeholders in a fast-paced FMCG environment.


Key Responsibilities:


1. Sales Reporting & Data Management

  • Consolidate weekly and monthly sales reports across accounts
  • Maintain and update product master data
  • Support sales data tracking and analysis as needed


2. Promotion Planning & Execution

  • Support execution of monthly promotions and campaigns
  • Coordinate submission of promotional materials (visual brief, article list, planogram) and requirements
  • Consolidating Promo Bulletin File
  • Ensure timely alignment with retailer guidelines


3. Customer Claims Management

  • Verify and process customer claims for assigned accounts in a timely manner
  • Liaise with finance and account teams to resolve discrepancies and ensure claim accuracy


4. NPD & GWP Listing Management

  • Coordinate submission of new product and GWP listings
  • Support allocation planning and sample coordination
  • Ensure compliance with retailer requirements and timelines


5. NSO (New Store Opening) & Refit Coordination

  • Coordinate NSO, refits, and in-store updates with internal teams
  • Manage submission processes and ensure timely execution


6. Commercial & Account Support

  • Support Key Account Managers in day-to-day operations, reporting, and client communication
  • Coordinate with cross-functional teams (Logistics, Supply Chain, Finance) to ensure smooth order execution
  • Monitor and follow up on operational matters


7. Administrative & Ad Hoc Support

  • Maintain documentation, trackers, and reporting files
  • Support ad hoc tasks and business requests as required


Qualifications:

  • Preferably candidates with a minimum of 2–3 years of experience in Sales Administration, Commercial Support, Trade Marketing Support, Key Account Support, or related FMCG/commercial operations roles.
  • Familiarity with promotion execution, customer claims processing, or account support operations is an advantage
  • Strong organizational and time-management skills
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
  • Ability to work independently and as part of a team
  • Ability to manage multiple stakeholders
  • Experience with drugstore clients preferred.
