Responsibilities

Our Client:

We are partnering with a German based MNC that specializes in manufacturing of engineering solutions. The company is expanding their Malaysia operations and looking for a Business Support Order Processing as part of their strategic growth.


Responsibility:

  • Manage end-to-end order processing activities including quotation issuance, sales order processing, purchase requisition, and purchase order coordination
  • Prepare and issue quotations accurately and timely in accordance with customer requirements and company procedures
  • Process and monitor customer orders, ensuring accurate documentation and smooth order fulfillment
  • Coordinate with internal departments such as Sales, Service, Warehouse, Procurement, and Finance to ensure timely delivery and order completion
  • Utilize SAP system for order management, inventory tracking, material transactions, and documentation control
  • Manage spare parts inventory, including stock monitoring, replenishment planning, and inventory accuracy control
  • Handle spare parts ordering and coordinate with suppliers to ensure timely availability of materials and components
  • Track movement of spare parts, shipments, and inventory transactions to ensure proper traceability and record keeping
  • Maintain accurate documentation for quotations, purchase orders, delivery records, inventory reports, and customer transactions
  • Monitor stock levels and ensure proper tracking of spare parts to minimize shortages and excess inventory
  • Support inventory audits, stock counts, and reconciliation activities
  • Follow up on order status, shipment schedules, and delivery timelines with suppliers and logistics partners
  • Ensure compliance with company procedures, documentation standards, and operational requirements
  • Assist in preparing reports related to order processing, inventory status, and operational activities


Requirements:

  • Diploma or Degree in Business Administration, Supply Chain, Logistics, Engineering, or related field
  • More than 3 years of working experience in order processing, business support, inventory control, or related functions
  • Experience using SAP system is preferred
  • Familiar with quotation issuance, purchase orders, purchase requisition, and inventory documentation processes
  • Knowledge in spare parts inventory management and stock tracking is an added advantage
  • Good coordination, communication, and organizational skills
  • Detail-oriented with strong accuracy in documentation and data entry
  • Able to work independently and in a fast-paced environment
  • Proficient in Microsoft Office applications such as Excel, Word, and Outlook
