Role Description

We are seeking a detail-oriented and tech-savvy Document Controller to manage, organize, and maintain project documentation while leveraging AI-powered tools and digital technologies to improve document management efficiency. The ideal candidate will support data accuracy, workflow automation, version control, and compliance across projects and departments.


Key Responsibilities:

  • Manage the creation, distribution, storage, retrieval, and archiving of project and corporate documents.
  • Maintain document control systems, ensuring proper versioning, classification, and approval workflows.
  • Utilize AI-enabled document management systems to automate filing, indexing, and document tracking processes.
  • Monitor document submissions and ensure compliance with company standards and project requirements.
  • Coordinate with project teams, consultants, contractors, and stakeholders regarding document control procedures.
  • Generate reports and dashboards for document status, overdue submissions, and workflow tracking.
  • Support implementation and optimization of AI technologies such as Optical Character Recognition (OCR), intelligent document classification, workflow automation tools and AI-based search and retrieval systems
  • Ensure confidentiality, integrity, and security of sensitive documents and data.
  • Assist in digital transformation initiatives and continuous improvement of document management practices.
  • Provide training and support to users on document control systems and AI tools.


Qualifications

  • Diploma or Bachelor’s Degree in Business Administration, Information Management, Engineering, IT, or related field.
  • Minimum [X] years of experience in document control, records management, or project administration.
  • Familiarity with AI-powered document management systems and digital collaboration platforms.
  • Proficiency in Microsoft Office Suite and document management software such as Microsoft SharePoint, Aconex, Procore and Autodesk Construction Cloud
  • Understanding of OCR, metadata tagging, workflow automation, and cloud-based systems is an advantage.
  • Strong organizational skills with high attention to detail.
  • Excellent communication and coordination abilities.
  • Ability to manage multiple projects and deadlines effectively.


Preferred Skills

  • Experience with AI tools for document analytics and smart search capabilities.
  • Knowledge of data governance and compliance standards.
  • Familiarity with Power BI or reporting dashboards.
  • Basic understanding of scripting or automation tools is a plus.
  • Problem-solving mindset with continuous improvement approach.
