Job Description

Responsibilities

Key Responsibilities:


1. Software Asset Management

  • Maintain accurate software license entitlements and deployment records within the SAM tool.
  • Perform license reconciliations and support Effective License Position (ELP) analysis.
  • Monitor software compliance risks and support remediation activities.
  • Support preparation of deployment and entitlement data for internal compliance reviews or external audits.
  • Validate software demand prior to renewals or new purchases.
  • Identify optimization opportunities such as unused licenses, duplicate software, or excess deployments.
  • Collaborate with infrastructure and application teams to ensure software usage aligns with licensing entitlements.


2. Contract, Renewal & Financial Management

  • Maintain a centralized repository of software contracts, amendments, and entitlement documentation.
  • Track key contract information including:
  • Entitlement quantities
  • License metrics
  • Support and maintenance periods
  • Renewal dates and notice periods
  • Monitor contract renewal timelines and ensure stakeholders are alerted ahead of renewal milestones.
  • Support renewal preparation by validating deployment, usage, and entitlement data against contractual terms.
  • Assist in demand validation prior to renewals by working with application owners to confirm required license quantities.
  • Provide baseline spend analysis to support visibility into software contract costs.
  • Identify potential cost optimization opportunities such as unused licenses, overlapping subscriptions, or reduced demand.
  • Support preparation of renewal summaries including current spend, forecasted spend, and entitlement usage.
  • Ensure contract records and financial data remain aligned with software deployments and actual consumption.


3. Application Portfolio Management (APM) Support

  • Maintain accurate application inventory and ownership records.
  • Support collection and validation of application metadata such as business owner, technical owner, lifecycle status, and hosting model.
  • Assist in identifying redundant, inactive, or duplicate applications.
  • Support application rationalization initiatives and technology portfolio transparency efforts.


4. Reporting & Data Analysis

  • Prepare periodic reports on:
  • License compliance status
  • Upcoming contract renewals
  • Software optimization opportunities
  • Support budgeting and forecasting activities related to software renewals.
  • Maintain dashboards and structured documentation for ITAM reporting.
  • Ensure technology asset and contract data remains accurate, complete, and auditable.
