Job Summary
The Admin Executive is responsible for providing administrative and operational support to the Property Management Department.
The role includes coordinating documentation, handling correspondence, maintaining records, monitoring maintenance and service schedules, assisting in procurement and contract administration, and supporting daily office operations to ensure smooth management of company assets and properties.
KEY RESPONSIBILITIES
Administrative & Office Support
- Provide day-to-day administrative support to the Property Management team.
- Prepare letters, memos, reports, meeting minutes, presentations, and other documentation.
- Maintain proper filing system for contracts, quotations, invoices, approvals, reports, and correspondence.
- Manage incoming and outgoing correspondence including emails, courier, and official letters.
Property & Maintenance Coordination
- Assist in coordinating maintenance schedules, service appointments, and contractor visits.
- Track and update maintenance records, defect lists, and work progress reports.
- Follow up with contractors, suppliers, and service providers on pending works and documentation.
- Assist in monitoring service contracts, warranty periods, and renewal dates.
- Coordinate access arrangements for maintenance and repair works.
Procurement & Financial Support
- Assist in obtaining quotations and preparing comparison summaries.
- Prepare Purchase Requisitions (PR), Purchase Orders (PO), and payment-related documentation.
- Verify invoices and supporting documents before submission for payment processing.
Meeting & Communication Coordination
- Coordinate meetings, site inspections, and appointments.
- Prepare meeting agendas and record meeting minutes.
Operational Support
- Support the Property Manager in daily operational matters and special projects.
- Assist during emergency situations or urgent operational matters when required.
- Perform any other duties assigned by management from time to time.
Working Conditions
- May require occasional site visits and attendance during meetings or emergency situations outside normal working hours.
REQUIREMENTS
- Diploma or Degree in Business Administration, Property Management, Real Estate, Accounting, or related field
- 1–3 years of working experience in admin, property management, or real estate industry
- Fresh graduates are encouraged to apply
- Good communication skills
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Strong organizational and multitasking skills
- Customer service and problem-solving skills
- Experienced in property management or developer environment will be added advantage
- Possessed own vehicle. May require occasional site visits and attendance during meetings or emergency situations outside normal working hours
