Job Description
The Operation Coordinator is responsible for coordinating and overseeing daily trucking and logistics operations to ensure the timely and efficient movement of shipments. This role requires close coordination with drivers, transporters, vendors, customers, and internal departments to maintain smooth operational flow and compliance with customs and transportation requirements.
Key Responsibilities
- Plan and schedule truck movements based on shipment requirements, delivery timelines, and truck availability.
- Monitor daily truck operations, including departures, arrivals, loading, and unloading activities.
- Coordinate with drivers, transporters, and warehouse personnel to ensure efficient execution of transportation plans.
- Track and update the status of all trucks and shipments in the operational monitoring system.
- Prepare and maintain truck planning schedules and operational reports.
- Ensure all delivery and transportation activities comply with company procedures and customer requirements.
- Possess working knowledge of customs procedures and import/export documentation.
- Coordinate with customs declaration and documentation teams to ensure smooth customs clearance and timely delivery.
- Verify and process vendor invoices, ensuring charges are accurate and supported by relevant documents before submission for payment.
- Monitor vendor performance and follow up on any discrepancies in billing or operational services.
- Communicate with customers regarding shipment status, delivery schedules, and operational issues.
- Investigate and resolve operational problems such as delays, truck breakdowns, or route disruptions.
- Maintain proper filing and record-keeping of transportation and billing documents.
- Perform any other duties assigned by management from time to time.
Requirements
- Minimum 1–3 years of experience in trucking operations, logistics, transportation planning, or a related field.
- Knowledge of customs procedures and import/export documentation is required.
- Experience in truck planning and fleet monitoring is an added advantage.
- Ability to verify vendor invoices and ensure billing accuracy.
- Strong organizational and multitasking skills.
- Good communication and coordination abilities.
- Proficient in Microsoft Excel, Word, and operational tracking systems.
- Able to work under pressure and meet tight deadlines.
Pay: RM2,800.00 - RM3,200.00 per month
