The RoleThis is a fantastic opportunity for a responsible, well-rounded Executive Assistant who thrives in a fast-paced, international environment. You will work closely with senior leadership, providing high-level administrative and operational support that keeps the global office running seamlessly. The ideal candidate is detail-oriented, anticipates needs before they arise, and brings a warm, can-do attitude to every interaction.
Key ResponsibilitiesExecutive Support: Provide comprehensive 1:1 and team support to senior executives, including complex diary management, meeting coordination, and inbox handling across multiple time zones.
Travel & Logistics: Arrange end-to-end international and domestic travel, including flights, accommodation, ground transport, visas, and detailed itineraries.
Meeting Coordination: Organize internal and external meetings, conference calls, and video conferences across global offices, ensuring all logistics, materials, and follow-ups are handled meticulously.
Communication: Liaise professionally with internal stakeholders, external clients, investors, and business partners in both Mandarin and English, written and verbal.
Document Management: Prepare, proofread, and format presentations, reports, correspondence, and confidential documents to a high standard.
Expense & Admin: Process expense claims, invoices, and reimbursements; manage office administration tasks and vendor relationships.
Event Support: Assist with the planning and execution of internal events, client entertainment, and corporate functions.
Ad Hoc Projects: Support special projects, personal assistant duties, and other tasks as required by the executive team.
Proven Executive Assistant experience, ideally within financial services, investment management, private equity, or other professional services firms.
Fluency in both Mandarin and English (written and spoken) is essential.
Exceptional attention to detail — meticulous, organized, and accurate in everything you do.

Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and comfort with new technology and platforms.
Ability to work independently while collaborating effectively across global teams and time zones.
Bachelor's degree preferred.
