Job Description

Responsibilities

1. Administration Management

Oversee daily administrative operations to ensure smooth office and business support functions

Manage company documentation, contracts, licenses, and compliance records

Supervise administrative staff and assign tasks efficiently

Coordinate with HR on administrative matters such as attendance records, leave administration, and office policies

Manage office supplies, facilities, and service providers

2. Purchasing & Procurement

Plan and manage purchasing activities for raw materials, components, consumables, and services

Source, evaluate, and negotiate with suppliers to achieve optimal cost, quality, and delivery terms

Issue purchase orders and monitor order fulfillment

Maintain accurate purchasing records and supplier databases

Work closely with production and warehouse teams to ensure material availability

Monitor inventory levels and avoid overstock or shortages

3. Shipment Planning & Logistics Coordination

Plan and coordinate shipment schedules based on sales orders, production plans, and inventory status

Liaise with freight forwarders, shipping agents, and transport providers

Prepare and verify shipping documents (e.g. packing list, invoice, delivery order, customs documents)

Monitor shipment progress and resolve delivery issues or delays

Optimize shipping methods and costs while meeting delivery deadlines

Coordinate with sales and customers on delivery arrangements

4. Sales Analysis & Reporting

Analyze sales data to track performance by product, customer, market, and period

Prepare regular sales reports, forecasts, and trend analysis for management

Monitor sales margins and highlight variances or risks

Support pricing analysis and cost-to-serve evaluations

Assist management in business planning and decision-making through data insights

5. Coordination & Internal Control

Act as a key coordinator between sales, production, warehouse, finance, and logistics teams

Ensure purchasing, shipment, and administrative processes comply with company policies

Support audit requirements by maintaining proper documentation and records

Pay: RM8,000.00 - RM11,000.00 per month
