Job Description

Responsibilities

POSITION SUMMARY:

Ships completed units and parts to customers, service centers and interplant locations using various carriers in a timely and efficient manner from a third party logistics warehouse (3PL). Works under minimal supervision and participates in small‑group activities, process improvement initiatives and project work.

RESPONSIBILITIES:

  • Verifies part number and/or serial numbers on the carton against Delivery Note. Notify 3PL Warehouse team if there is any discrepancy.Packages/inspect material appropriately for shipment.
  • Generate Delivery Note, Commercial Invoice and other shipping related documents. Perform Post Good Issue (PGI) once cargo is collected.
  • Understand shipping instruction given for each order request in system before shipment arrangement.
  • Coordinates pick up and tracks shipments of various freight carriers.
  • Files paperwork supporting shipping procedures.
  • Maintains cleanliness and orderliness of shipping area.
  • Filling and scanning of shipment document.
  • Investigates and / or fixes issues/problems.
  • Adhere to organizational requirements on quality management, health and safety, code of conduct, legal stipulations, environmental, 5S policies and general duty of care.
  • Maintain confidentiality of all information related to the production processes and components, business and other technology including materials.
  • Assist in managing the Disposition Material Review (DMR) process to ensure timely handling and resolution of material quality issues.
  • Support to develop and maintain comprehensive training materials.
  • Assist in developing and updating Standard Operating Procedures (SOPs) and Work Instructions (WIs) for warehouse operations to ensure consistency and clarity.
  • Support internal and external audits, helping ensure compliance with ISO 9001 and other relevant quality standards.
  • Carry out other assigned duties to support the quality assurance function and logistics operations.

WORK ENVIRONMENT
  • Location: alternate work locations of external logistics (Bayan Lepas or Penang Science Park, Simpang Ampat.
  • Work in standard office environment and used office equipment (phone, PC, copier, fax machine etc.)

QUALIFICATIONS:
  • Good written and verbal communication skills.
  • Basic mathematic skills and Proficiency in Microsoft Office
  • Basic knowledge of SAP and Logistics Systems.
  • Familiarization of HTS code.
  • Good analytical and problem‑solving abilities with the capability to address issues.
  • Basic knowledge of risk assessment, 8D methodology and standardization practices.
  • Familiarity with Lean Manufacturing principles and common quality tools (Process Mapping, Pareto Chart, Check Sheet and Fishbone Diagram) as added advantage.

EXPERIENCE:
  • Three (3) to Five (5) years of experience as a clerk or shipping analyst
  • Prefer experienced in Logistic/Shipping and process improvement involvement
EDUCATION:
  • Minimum a Diploma / Bachelor’s Degree.
  • Prefer multiple SAP R/3 Logistics module certifications.
  • Prefer certification in Windows, Excel, and Word and / or equivalent experience at an intermediate level.
