Role OverviewThe Logistics Executive will oversee the end-to-end importation process of used cars from Japan, ensuring compliance with Malaysian regulations and smooth coordination between internal teams, government authorities, and external partners. This role requires meticulous documentation, regulatory awareness, and hands-on involvement at the port to guarantee timely delivery and quality assurance of vehicles.
Key Responsibilities
Import Documentation & Tracking
- Record and maintain invoices, car photos, auction sheets, and condition reports.
- Monitor Bill of Lading (BL) and shipping schedules.
- Apply for Approved Permits (AP) and ensure accuracy of all import documents.
Regulatory Compliance
- Liaise with PEKEMA and MITI for regulatory approvals.
- Coordinate with Kastam, Port Authority, and Puspakom for inspections and licensing.
- Ensure K1 and K8 customs papers are prepared and duties paid before registration.
Port Operations
- Track vessel arrival dates and liaise with Port Authority.
- Attend Port Klang to manage customs clearance, Puspakom inspection, and forwarding agent arrangements.
- Oversee vehicle release and arrange carriers for transport to the showroom.
Vehicle Quality & Condition
- Verify car conditions at port against auction reports.
- Highlight cosmetic or mechanical issues to the After Sales team.
- Conduct thorough checks on accessories, batteries, and overall condition before showroom placement.
Showroom & Stock Management
- Arrange vehicles in the showroom and complete checklists.
- Perform weekly stock audits to ensure records tally with physical inventory.
- Support sales admin in registration and handover processes.
Coordination & Communication
- Work closely with After Sales, Sales Admin, and external agents.
- Provide timely updates on shipment status, clearance progress, and vehicle readiness.
- Handle ad-hoc tasks as assigned by management.
Requirements- Diploma/Degree in Logistics, Supply Chain, Business, or related field.
- Fresh Graduates are encourage to apply. Training will be provided.
- Minimum 2 years’ experience in logistics, preferably in automotive import/export.
- Strong knowledge of Malaysian import regulations (MITI, Kastam, Puspakom).
- Excellent organizational and documentation skills.
- Ability to work independently and travel to Port Klang regularly.
- Good communication skills in English and Bahasa Malaysia.
