Primary Objective


The Academic Assistant provides essential administrative, operational, and programme support to ensure the effective delivery of academic and school-wide programmes.


This role extends beyond academic administration to include active support and coordination of school activities, ensuring seamless execution of both curricular and co-curricular programmes aligned with the school’s holistic education approach.


Key Responsibilities

1. Academic Administration

- Provide day-to-day administrative support to the Principal, IB Coordinators, and teaching staff

- Assist in preparing, formatting, proofreading, and distributing academic materials (lesson resources, assessments, reports)

- Support examination processes, including scheduling, logistics, and invigilation coordination


2. Data & Records Management

- Maintain accurate student academic records, attendance, and documentation

- Ensure proper filing and compliance with school and IB standards

- Manage digital databases and support data tracking for academic reporting


3. Communication & Coordination

- Serve as a key point of contact for academic-related queries from parents, students, and staff

- Coordinate meetings, prepare agendas, record minutes, and follow up on action items

- Support internal communication between academic departments and school leadership


4. Event & Programme Support

- Assist in planning and executing academic events such as:

- Parent-Teacher Conferences

School assemblies

- Examination periods

- Academic briefings

- Provide operational support for whole-school programmes, including:


- Co-Curricular Activities (CCA)

- Outdoor education programmes and camps

- Expeditions and learning journeys

- School events (Open Days, performances, special programmes)


5. Operational & Activity Coverage

- Be available to support and cover additional school activities when required, including:

- After-school programmes and CCAs

- Weekend events or school functions

- Camps, trips, and expeditions (local or international, where applicable)

- Assist in student supervision, logistics coordination, attendance tracking, and safety compliance during such activities


6. Cross-Department Collaboration

- Work closely with academic, operations, boarding, and administrative teams

- Ensure smooth day-to-day functioning of the academic office and school programmes

- Support ad-hoc projects and school initiatives as assigned


Skills & Qualifications

- Diploma or Bachelor’s Degree in Business Administration, Education, or a related field

- Prior experience in administrative or operational roles (education sector preferred)

- Strong organizational and time-management skills with high attention to detail

- Excellent interpersonal and communication skills

- Ability to multitask and work in a fast-paced environment

- High level of professionalism and ability to maintain confidentiality

- Technical Skills

- Proficiency in Excel, Word & Form creations and digital systems/databases

- Familiarity with school management systems is an advantage

- Knowledge of IB programmes is preferred but not essential


Language Requirements

- Fluent in English (spoken and written)

- Additional languages are an advantage
