Job Description

Responsibilities

Job Summary

We are seeking a detail-oriented Corporate Secretarial Executive to support the delivery of corporate secretarial services to a portfolio of clients. The role involves ensuring compliance with Singapore statutory and regulatory requirements, maintaining corporate records, and supporting board and shareholder matters.

Key Responsibilities

  • Handle full spectrum of corporate secretarial duties for a portfolio of clients (private limited companies, etc.)
  • Prepare and file statutory documents with ACRA (Accounting and Corporate Regulatory Authority)
  • Maintain and update statutory registers and company records
  • Draft board resolutions, shareholders’ resolutions, and minutes of meetings
  • Assist in incorporation of new companies, striking off, and other corporate exercises
  • Ensure compliance with the Companies Act (Singapore) and relevant regulations
  • Monitor filing deadlines and ensure timely submissions (e.g. annual returns)
  • Liaise with clients, auditors, and government authorities where required
  • Support KYC (Know-Your-Client) and AML (Anti-Money Laundering) compliance processes
  • Provide administrative support related to corporate secretarial work

Requirements

  • Diploma or Degree in Business Administration, Law, Accounting, or related field
  • Minimum 1–3 years of relevant experience (for junior roles; more for senior positions)
  • Familiarity with Singapore corporate secretarial practices and compliance requirements
  • Knowledge of ACRA BizFile+ system is an advantage
  • Strong attention to detail and organizational skills
  • Good written and verbal communication skills
  • Ability to manage multiple clients and deadlines
  • Proficient in Microsoft Office applications
  • Proficiency in Mandarin and English (spoken and written) would be an advantage to support communication with Mandarin-speaking stakeholders. (Optional)
