Responsibilities:
Handle customer enquiries and service requests, ensuring timely follow-up and resolution
Manage day-to-day operations and transactions related to shipping and service coordination
Prepare and process shipping documentation, including shipping orders, shipping notes, B/L, PSA, Customs, Tradenet, and Portnet
Arrange bookings and ensure timely dispatch of shipping and service-related documents
Coordinate internal and external logistics to ensure smooth movement of instruments and goods
Support service planning by issuing, assigning, and tracking service orders to meet turnaround time (TAT) requirements
Work closely with internal teams (repair, logistics, planning) to ensure operational efficiency
Monitor service progress and update timelines as required
Handle invoicing, credit notes, internal expense reporting, and support month-end closing
Maintain accurate records and ensure consistency between physical inventory and system data
Assist with reporting, documentation, and process improvement initiatives
Support ad-hoc operational and administrative tasks when required
Requirements:
Diploma / College degree or equivalent (entry-level candidates welcome)
1–3 years of experience in customer service, operations, logistics, or administration preferred
Freight forwarding or shipping documentation experience is an advantage but not mandatory
Exposure to ERP systems (e.g. Oracle) is an advantage
Comfortable with light physical handling of equipment (generally under 10kg; team support provided for heavier items)
