Job Description

Requirements

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum of 3-5 years of proven experience in an administrative or clerical role, preferably within a manufacturing or healthcare-related industry.
  • Proficiency in office administration tasks, including managing correspondence, scheduling appointments, maintaining calendars, and coordinating meetings.
  • Excellent verbal and written communication skills in both English and Mandarin, with the ability to interact effectively with diverse stakeholders.
  • Strong organizational skills with meticulous attention to detail for accurate record-keeping and document management.
  • Experience with data entry and maintaining databases, ensuring the integrity and confidentiality of information.
  • Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative software.

Responsibilities

  • Manage and maintain the company's general office filing system, including physical and digital records, ensuring accuracy and easy retrieval of information.
  • Coordinate and schedule internal and external meetings, prepare agendas, take minutes, and distribute follow-up actions to relevant parties.
  • Handle incoming and outgoing mail and correspondence, sorting, prioritizing, and distributing as appropriate, and drafting routine responses when necessary.
  • Provide administrative support to management and staff, including preparing reports, presentations, and other documents.
  • Recruit new employes and Assist in the onboarding process for new employees, including preparing necessary paperwork and orienting them to office procedures.
  • Manage office supplies inventory, including ordering, receiving, and distributing supplies, and maintaining a budget for office expenses.
  • Serve as a point of contact for visitors and clients, greeting them professionally and directing them accordingly.
  • Maintain the office calendar, ensuring all important dates, deadlines, and events are recorded and communicated.
  • Support the implementation and maintenance of office administrative systems and procedures.
  • Liaise with external vendors and service providers to ensure smooth office operations.
