Requirements
1. Oversee daily administrative affairs, including maintaining the company's office environment and managing office supplies throughout their entire lifecycle to ensure efficient and orderly operations;
2. Support meetings and events, coordinating various company meetings and ensuring accurate meeting minutes and summaries;
3. Manage documents and archives, drafting, formatting, distributing, and archiving all company administrative documents, notices, and correspondence, standardizing the archive classification management system, and ensuring convenient document retrieval and complete archiving;
4. Provide logistical support services, handling employee attendance, transportation, and other logistical matters, addressing employee administrative requests, coordinating and resolving various logistical issues during office hours, and improving the employee work experience;
5. Handle external liaison and reception, arranging reception for visiting clients and partners, liaising with external units such as property management, business registration, and courier services, and maintaining good cooperative relationships;
6. Control administrative expenses, assisting in the preparation of administrative expense budgets, recording detailed administrative expenditures, and regularly conducting expense statistics and analysis to ensure compliant and efficient use of funds;
7. 8. Ensure the implementation and execution of regulations, assist in improving the company's administrative management systems and processes, promote the implementation of regulations such as office standards, attendance management, and logistical support, monitor the implementation of regulations, and provide timely feedback for optimization;
9. Complete other administrative tasks assigned by superiors, cooperate with various departments to provide cross-departmental administrative support, and ensure the coordinated advancement of the company's overall administrative work.
Responsibilities
1. Education/Major: Associate's degree or above in Public Administration or Business Administration; 3-5 years of relevant administrative work experience.
2. Skills/Requirements: Excellent writing skills; able to independently draft various administrative documents and notices; proficient in Microsoft Office and office automation equipment.
3. Qualities/Characteristics: Meticulous, responsible, with excellent communication, coordination, and execution skills; able to efficiently handle internal and external matters; strong service awareness and teamwork spirit; able to work under pressure and handle unexpected administrative tasks effectively.
4. Language Requirements: Fluent in English and able to speak Chinese.
5. Other Requirements: Familiar with administrative office procedures and basic business etiquette; understands the basic norms of administrative expense control and file management; experience as an administrative assistant/specialist in large or medium-sized enterprises is preferred.
