Position Summary

The Business Operations Executive / Commercial Executive is responsible for supporting daily business operations by coordinating between Purchasing, Sales, Operations and the outsourced Accounting team. The role focuses on improving information visibility, ensuring timely reporting, monitoring operational data and supporting management decision-making.

This position acts as a business coordination and reporting function and does not hold direct approval authority over purchasing or payment activities.

Key ResponsibilitiesOperations & Business Coordination

  • Coordinate with Purchasing, Sales and Operations teams on daily activities and follow-up matters.
  • Monitor purchase orders, supplier invoices and delivery status.
  • Ensure supporting documents are complete and properly maintained.
  • Assist in resolving operational and supplier-related issues.

Financial & Reporting Coordination

  • Liaise with the outsourced Accounting team on:
  • Accounts Payable (AP)
  • Accounts Receivable (AR)
  • Monthly closing activities
  • Cash position updates
  • Supplier statement reconciliations
  • Prepare and maintain weekly and monthly management reports.
  • Monitor outstanding payables and receivables.
  • Track and follow up on overdue items.

Data Analysis & Reporting

  • Prepare reports including:
  • Supplier Payment Tracking Report
  • Accounts Payable Aging Report
  • Accounts Receivable Aging Report
  • Inventory Summary Report
  • Monthly Cash Position Report
  • Key Business Performance Indicators (KPIs)
  • Analyse trends and highlight unusual variances or discrepancies to management.
  • Support management with ad-hoc reporting and data analysis.

Process Improvement

  • Assist in improving operational processes and reporting efficiency.
  • Maintain proper documentation and filing systems.
  • Support implementation of internal controls and business processes where necessary.
  • Participate in process improvement projects assigned by management.

Cross-Functional Support

  • Act as the key coordination point between Operations, Purchasing and Finance.
  • Support management in gathering information and preparing reports for business reviews and decision-making.

RequirementsEducation

  • Diploma or Bachelor's Degree in related background study
  • Minimum 2 years of working experience in Supply Chain, Purchasing Coordination, Finance Coordination etc.
  • Technical Skills: Data Analysis, Excel, SQL
  • Basic understanding of Procurement processes, AP, AR, Cash flow reporting, Inventory control
  • Strong analytical and problem-solving skills.
  • Able to work independently and across different departments

Pay: RM3,000.00 - RM4,200.00 per month
