Requirements
1. Minimum Diploma in Secretarial /Business Administration or any related field.
2. Minimum 3 years of working experience in the related field.
3. Excellent organizational and time management skills.
4. High level of professionalism, discretion, and confidentiality.
5. Ability to prioritize multiple tasks and work under pressure.
6. Strong attention to detail and problem-solving abilities.
7. Positive attitude, initiative, presentable and ability to work independently.
8. Handle confidential information and sensitive information with the highest level of integrity and discretion.
9. Able to liaise with all levels of employees in the organization and external business contacts
10. Competent to converse and write in Bahasa English and Bahasa Malaysia
11. Proficient in Mandarin or Japanese language is an added advantage
12. Computer literate in Microsoft Words, Excel, Power Points and others
13. Able to start work immediately is an added advantage
Responsibilities
1. Carry out full spectrum of secretarial duties to the Senior Management.
2. Perform efficient operation of the group executive office.
3. Responsible for the confidential records keeping duties.
4. Good in drafting formal correspondences, letters writing and reports.
5. Managing the executives’ daily schedules, calendar and coordinating their appointments
6. Attending to the visitors, answering & filtering incoming calls
7. Coordinate internal and external meetings, including refreshments, venue bookings and logistics.
8. Prepare meeting agendas, presentations, reports and briefing materials.
9. Take meeting minutes and follow up on action items.
10. Plan, arrange and coordinate travelling itineraries, accommodation and flight bookings for staff, customers and other external business contacts.
11. Organising and storing paperwork, documents and computer-based information for ease of reference and retrieval
12. Involved in overall general clerical and administration works.
13. Supervising and delegating works to the junior staff such as Driver and Despatch.
14. Support and assist in the company functions, meetings, administrative projects and assignments.
15. Assist with personal errands or tasks assigned by the executive when required.
16. Perform any other duties assigned by management from time to time.
