Job Description

Requirements

  • Provide administrative support to the HR department, including managing calendars, and preparing correspondence.

  • Maintain and update employee records in the HR system, ensuring data integrity and confidentiality.

  • Handle general office administration tasks such as managing office supplies, coordinating mail distribution, and maintaining a tidy workspace.

  • Support the HR team in organizing company events and activities.

  • Respond to basic employee inquiries regarding HR policies and procedures.

  • Assist with basic payroll processing and benefits administration tasks.

  • Proficiency in English and Bahasa Malaysia is essential; Mandarin is a strong advantage.

  • Familiarity with basic office software (e.g., Microsoft Excel is required.

  • Excellent organizational and time-management skills with the ability to multitask.

  • Strong attention to detail and accuracy in data entry and record-keeping.

  • Good communication and interpersonal skills to interact effectively with employees at all levels.

  • A proactive and willing attitude to learn and take on new responsibilities.

  • Ability to work independently and as part of a team in a fast-paced environment.

Responsibilities

  • Provide comprehensive administrative support to the HR department, including managing employee records, maintaining confidentiality, and assisting with onboarding processes for new hires.

  • Handle day-to-day office operations, such as managing office supplies, coordinating mail distribution, maintaining a tidy and organized workspace, and ensuring the smooth functioning of office equipment.

  • Assist in the preparation and distribution of internal communications, memos, and company-wide announcements, ensuring clarity and accuracy in all written materials.

  • Support the HR team in organizing company events, meetings, and training sessions, including scheduling, logistics management, and participant coordination.

  • Act as a point of contact for employee inquiries regarding HR policies, procedures, and benefits, providing timely and accurate information or directing them to the appropriate resources.

  • Maintain and update HR databases and employee files, ensuring all information is accurate, up-to-date, and compliant with data privacy regulations.

  • Assist with basic payroll processing and leave management tasks under the guidance of the HR Manager.

  • Perform general clerical duties such as filing, photocopying, scanning, and data entry to support the efficient operation of the HR and administrative functions.
